The Role:
Are you an organised event or hospitality professional looking to build your career in international motorsport? We're looking for a Catering Coordinator to join the Formula E Catering team to help deliver exceptional food and beverage operations across our global race calendar. You’ll support the planning and delivery of catering services for our Paddock, Fan Village and Premium Experience areas. This is a varied role combining event administration, supplier coordination and on-site event delivery, ensuring catering operations run smoothly before, during and after each race. You'll work closely with internal teams, catering partners and suppliers to maintain accurate event information, coordinate logistics and provide on-site operational support at races around the world.
Event Planning & Administration: You will support the team in coordinating catering requirements and race-by-race planning for multiple Formula E events throughout the season. Responsibilities include maintaining accurate event documentation, databases, and meal booking systems, as well as formatting menus and collating vital allergen and food compliance information.
Supplier & Internal Coordination: You will act as a key point of contact for catering partners and suppliers throughout the planning process, including managing accreditation and supporting contractor onboarding with up-to-date operational resources. Additionally, you will liaise with internal departments like Event Experience, Premium Experience, and Finance to ensure timely delivery, while raising purchase orders, monitoring invoices, and tracking expenditures against departmental budgets.
Event Readiness & Delivery: You will manage vendor compliance by collecting and verifying allergen details, health and safety records, and HACCP documentation in collaboration with the F&B Operations Manager. Additionally, you will maintain the Fan Village Production Book with race-specific details and provide vital on-site problem-solving—handling everything from accreditation and menu proofing to logistical support and monitoring catering standards—to ensure a high-quality guest experience.
Continuous Improvement: You will help maintain operational procedures, templates, and planning documents to ensure consistent delivery and smooth execution throughout the season.
What we're looking for in you:
- Organised & Detail Focused: Highly organised and detail-oriented, you possess strong administration skills and the ability to manage multiple priorities accurately within a fast-paced environment.
- Hospitality & Event Experience: While not essential, ideal candidates will have operational event experience, particularly within catering, greenfield environments, international settings, or motorsports. A food hygiene certificate is also highly beneficial.
- Strong Communicator: You will excel at building positive working relationships with colleagues, suppliers, and contractors, while confidently coordinating information across multiple stakeholders.
- Practical & Proactive: Thriving in both office and on-site environments, you are comfortable adapting to changing priorities and finding practical solutions during live event operations. Ultimately, this role is primarily administrative with hands-on, on-site operational support required.
- IT & Financial Administration: You are confident using Microsoft Office, particularly Excel, and feel completely comfortable working with databases, purchase orders, and financial administration.
- Flexible & Willing to Travel: You will be happy to travel internationally throughout the Formula E season, dedicating a minimum of 50 days per year to global event travel.

This is a hybrid role and you'll be required to do 3 days a week in our Hammersmith London office.
