We are recruiting for a HR Coordinator to join our Human Resources team based at our Biggin Hill office.
Reporting into the HR Business Partner, you will:
Responsibilities
- Recruitment β Maintain contact with prospective new starters from offer through to joining F1. Raise new starter forms, ensuring appropriate authorisation is recorded. Create job files, file interview notes and generally keep them in order; to also destroy details after 12 months in line with our Candidate Privacy Notice. Create job descriptions in line with template, competency framework and F1 agreed format. Ensure personal files by setting files up with all relevant information before employee starts.
- Welfare β Support and advise on staff absence, ensuring process is followed and Workday absence is recorded by the manager. Carry out welfare meetings, provide support, take notes and follow up where appropriate.
- Training β Support HR Business Partner with training needs analysis meetings with managers and collecting the relevant data to submit to the talent team.
- Manage new starter process β Draft contracts of employment and send with all new starter / onboarding paperwork. Follow extensive new starter procedures. Enter new start details onto Workday. Ensure all paperwork is given to payroll as soon as received from the new starter. Carry out new starter inductions and ensure there is new starter paperwork ready. Ensure all new starter paperwork is received/chased where appropriate.
- Leavers Process β Write and confirm acceptance of resignation ensuring exit interview is offered. Raise Leavers Form and update Workday. Calculate leaverβs entitlements for payroll. Ensure payroll is advised in a timely manner. Archive leaver files on a quarterly basis.
- Performance Management β Provide advice and guidance to managers on probationary period reviews. Write and confirm completion/extension with employee and advise of benefits where appropriate. Log any disciplinary sanctions on Workday and remove once expired. Support HR Business Partner as required on performance related matters.
- Other β Maintain HR Tracker for monthly statistics (turnover, average time to hire, etc.). Diarise fixed term contract end dates 6 weeks in advance and confirm renewal. Administer Maternity, Paternity, Shared Parental leave processes, including ensuring monthly newsletter reaches those on leave. Complete employment references for leavers. Act as HR representative and note-taker in disciplinary/grievance meetings. Contribute to HR projects and help update policies and procedures. Provide support during busy periods or absences. Maintain procedures for your area of responsibility. Input data into Workday and ensure it remains up to date.
Qualifications
- A level or equivalent
- 2 years of HR Coordination/Administration experience
- Experience working with a range of employment options (e.g., Permanent, FTC and contractors)
- Knowledge of HR legislation
- Minimum of CIPD level 5
