Responsibilities:

  • Reporting to the Director of the Press and Business Manager, the Senior Department Assistant supports the Director by handling a wide range of duties.

Essential Functions:

  • Scans and enters invoices through FinPay and FinBuy.
  • Prepares Independent Contractor paperwork to accompany invoices for submission to HR and FinPay.
  • Submits Wire Requests to Accounts Payable.
  • Processes royalty statements and paperwork for authors receiving payments.
  • Records Concur credit card payments, Interdepartmental Expense Requests, and Budget Transfers.
  • Enters credit cards, check deposits, wire transfers, and all expenses in QuickBooks.
  • Reviews entries on Fordham’s Banner System in order to reconcile with QuickBooks balances.
  • Runs reports of a book’s production costs to calculate unit cost.
  • Prepares timely budget reports for the Director and the Marketing department and tracks the percentage of budget spent on all income and expense accounts.
  • Assists the Business Manager with financial reports.

  • Not responsible for supervision or oversight of others.

Additional Functions:

  • Keeps an Excel file for accounts receivable and sends second notices when appropriate.
  • Maintains files for paid bills, deposits, and accounts receivable.

Required Qualifications:

  • High school diploma or equivalent required.
  • Minimum of two years of experience in accounting, book publishing, clerical support within a higher education setting, or related experience.

Required Qualifications: Knowledge and Skills:

  • Mandatory Competency Testing.
  • Strong technical skills in Microsoft Office Suite and QuickBooks.
  • Excellent organizational skills.
  • Ability to maintain discretion and confidentiality.
  • Demonstrated writing ability.

Preferred Qualifications:

  • Bachelor’s degree.
  • Experience in developing internal processing and filing systems.

  • Minimum Biweekly Salary for All Others – $1,383.04
  • Maximum Biweekly Salary for All Others – $1,383.04
