We have an exciting opportunity to join a dynamic team as an Event Coordinator and play a key role in shaping impactful corporate events across the EMEA region. This opportunity offers the chance to coordinate and deliver a wide range of events-from exhibitions and conferences to seminars-ensuring seamless execution from initial planning to post-event follow-up. You will be supporting the EMEA group, which has 1200 + employees.
Key ResponsibilitiesSupport the planning and delivery of EMEA events, including venue sourcing, logistics, catering, attendee management and event materials.
Develop and maintain event plans, timelines, checklists and key milestones.
Coordinate suppliers, venues and other external partners, ensuring requirements, deadlines and budgets are understood and met.
Manage event collateral, giveaways and shipments, ensuring materials arrive on time.
Coordinate attendee communications and ensure participants have the information they need ahead of each event.
Provide hands-on support at events, including registration, logistics, technical coordination and overall guest experience.
Anticipate potential issues and respond quickly and calmly to changes or challenges on site.
Work closely with internal stakeholders to ensure events are aligned with company branding, messaging and objectives.
Support the tracking and management of event and supplier budgets.
Coordinate post-event feedback, attendee surveys and vendor reviews, producing clear summaries of outcomes, learnings and recommendations.
Required skills for the Event Co-ordinator: Proven experience in event coordination and executionStrong understanding of corporate event planning, logistics, and vendor managementExcellent organisational skills with meticulous attention to detailAbility to manage multiple projects and deadlines simultaneouslyExceptional communication and interpersonal skillsProactive, resourceful, and able to anticipate potential issuesProblem-solving and decision-making capabilitiesProficiency in Microsoft Office Suite, especially Excel, PowerPoint, and OutlookAbility to work independently and collaboratively within teamsFlexibility to travel within EMEA (up to 4 times per year), normally Germany and SpainExperience managing event budgets and supplier relationshipsTechnical coordination experience at onsite eventsKnowledge of event management tools or softwareFluency in additional languagesOther Requirements: Willingness to travel within EMEA as neededAbility to work in a hybrid setting (2-3 days in the office, with Monday and Thursday mandatory)
