Location: North Scarle
We are currently seeking a proactive and organized Distribution Administrator to join our Distribution team on a fixed term basis. This role is key to ensuring the smooth and compliant operation of transport and distribution activities, supporting drivers, warehouse operatives and management through effective administration, data control and communication.
The successful candidate will play an important part in maintaining high standards of health & safety, compliance, data integrity and customer service within a fast-paced distribution environment.
Key Responsibilities- Health & Safety
- Follow all company Health & Safety policies and procedures at all times
- Maintain a clean and safe working environment, following “clean-as-you-go” principles
- Ensure fire exits, walkways and safety equipment remain clear and accessible
- Report accidents, near misses, equipment damage or safety concerns immediately
- Wear appropriate PPE and comply with all site safety signage and procedures
- Distribution & Transport Administration
- Work closely with Drivers, Warehouse Operatives and Shift Managers to support daily operations
- Brief and debrief drivers, escalating issues to Shift Managers where required
- Interrogate Trutac systems to support driver compliance and escalate issues to the site O-Licence holder
- Administer vehicle defect reporting and ensure issues are escalated for action
- Maintain accurate vehicle files on behalf of the site O-Licence holder
- Systems & Data Management
- Enter and maintain accurate data across various systems and databases
- Control Chep pallets, plastic pallets, trays and shippers, including ordering and off-hiring consumables
- Use Navision to raise purchase orders, receipt orders and post shipments
- Maintain data integrity for daily and weekly operational reports
- Ensure all documentation is completed accurately and stored correctly
- General Administration
- Administer PPE records and arrange ordering of PPE for the Distribution Department
- Carry out filing and general administrative duties to support the department
- Ensure effective handover of ongoing issues at shift changeover
- General project work
- Continuous Improvement & Quality
- Foster positive working relationships across all departments
- Identify inefficiencies or waste and suggest improvements to your Line Manager
- Support training activities where required and be flexible to work across different areas of the department
- Maintain high standards of product quality, integrity and traceability
- Support the site’s commitment to being “audit-ready” at all times

- Strong administrative and organisational skills
- Confident using IT systems and databases (experience with Navision is desirable)
- Excellent attention to detail and commitment to data accuracy
- Good communication skills and the ability to work with multiple stakeholders
- A proactive approach to problem solving and continuous improvement
