Are you currently working on an FM helpdesk, service desk or maintenance desk and ready for a change? FM Search & Select are working with an established Facilities Management business in Livingston who are looking to add an experienced Helpdesk Coordinator to their team. This is a great opportunity for someone who enjoys the fast-paced nature of an FM helpdesk but is looking for a role offering genuine flexibility with two days working from home each week.

What will you be doing?

You'll be at the centre of the maintenance operation, coordinating planned and reactive works and making sure jobs progress from initial call through to completion. Your responsibilities will include:

  • Logging and managing reactive maintenance requests
  • Planning and scheduling jobs to engineers and subcontractors
  • Coordinating PPM and reactive maintenance
  • Monitoring jobs against SLAs and chasing outstanding works
  • Liaising with engineers, subcontractors and clients
  • Providing customers with regular job updates
  • Managing busy email inboxes and incoming calls
  • Updating CAFM/helpdesk systems accurately
  • Escalating urgent or overdue jobs when required
  • Supporting the wider FM team with day-to-day administration and reporting

Who are we looking for?

Ideally, you'll already have experience working within an FM helpdesk or maintenance environment and understand what it's like to manage multiple jobs and priorities at once. You'll be:

  • Highly organised and comfortable managing a busy workload
  • Confident speaking with clients and engineers
  • Able to prioritise urgent jobs and work to deadlines
  • IT literate and comfortable learning different systems
  • A strong communicator with a proactive approach
  • Someone who enjoys working as part of a busy FM team

Experience using a CAFM system would be beneficial, but we're more interested in finding someone with the right FM/helpdesk background and attitude.
