The Senior Talent Team is responsible for the Talent Acquisition, Management & Development activity for our senior leadership population across the globe. Working in partnership with members across the company, we deliver best-in-class talent solutions across Flutter. As the team’s remit continues to expand, an opportunity has arisen for a highly capable Executive Assistant to provide professional, proactive, and seamless support to Senior Talent Directors. The role responsibilities also include end-to-end coordination and support of leadership initiatives and executive events, ensuring operational excellence and a high-quality experience for senior stakeholders. This role will also leverage emerging AI tools and digital capabilities to enhance productivity, streamline workflows, and improve the efficiency and quality of support provided to senior leaders.
What you'll do:
- Executive support & diary management
- Manage complex, fast-moving calendars across multiple time zones, ensuring optimal prioritisation and alignment to business needs
- Coordinate all associated logistics including meeting rooms, office space, visitor access, and hybrid working requirements
- Arrange and manage domestic and international travel, including flights, accommodation, visas, and detailed itineraries
- Schedule and support 1:1 meetings, cross-functional engagements, and leadership forums, including drafting agendas and pre-read materials
- Leverage digital and AI tools to enhance meeting preparation, streamline scheduling, and support high-quality communications and briefings
- Provide forward-looking visibility of commitments through daily and weekly briefings
- Act as a key point of contact for senior stakeholders, maintaining professional and effective communication at all times
- Support the end-to-end delivery of senior leadership initiatives, including planning timelines, coordinating participants, and managing communications
- Use digital and AI tools to enhance programme delivery, including participant communications, content preparation, and feedback analysis
- Lead logistics for key leadership events, such as offsites, workshops, and executive development sessions (virtual and in-person)
- Coordinate venues, suppliers, travel, accommodation, and on-the-day execution to ensure a seamless experience
- Prepare materials and support content development for leadership sessions, including presentations and briefing packs
- Track participation, feedback, and follow-up actions to support continuous improvement of programmes and initiatives
- Process and manage expense submissions using internal systems (e.g. Oracle)
- Support procurement and invoicing processes, including supplier set-up, purchase order tracking, and invoice management
- Provide administrative support across key projects, including presentation development and documentation
- Build strong working relationships with senior leaders, Executive Assistants, and teams globally to enable effective collaboration
- Act as a central coordination point across multiple stakeholders, ensuring clear communication and timely execution
- Collate, manage, and distribute updates, reports, and key documents to relevant stakeholders
- Capture and track actions from meetings, ensuring follow-through and accountability
- Maintain and update central talent systems, databases, and executive development records
- Coordinate complex interview scheduling for senior hiring processes, liaising with candidates and executive search partners
- Provide operational support for broader strategic talent initiatives, ensuring timelines, deliverables, and communications are effectively managed
- Handle highly sensitive information with absolute discretion, including organisational, financial, and market-sensitive data
- Exercise strong judgement when using AI and digital tools, ensuring appropriate handling of sensitive information
- Ensure compliance with internal processes and governance standards across all activities
- Maintain professionalism and integrity when supporting senior leadership and confidential initiatives
How you'll do it:
- Demonstratable experience working in a similar role supporting Directors and senior leaders
- Strong interpersonal and communication skills, with an ability to work with a variety of styles and personalities no matter the seniority
- High degree of personal integrity and used to working with confidential information and maintaining absolute discretion
- Proactive, flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Able to stay calm under pressure in a fast-paced environment
- Experience of collaborating across reporting lines, business divisions and geographies
- Proficient in use of MS365 products with an aptitude to learn new software and systems
