The Warranty Claims Manager will take end-to-end commercial ownership of supplier warranty issues across Europe, ensuring that defects are resolved efficiently, fairly and in line with Fluence’s contractual warranty rights. Sitting between the technical fix and the formal claim, the role will enforce supplier obligations before issues escalate—determining who is liable for parts and labour, pursuing recovery, and agreeing pragmatic commercial solutions where suppliers struggle to meet their warranty obligations. The role is central to protecting margin, holding suppliers accountable, and positioning Fluence as an organised, priority customer.
Key Responsibilities
- Review and analyse Non-Conformance Reports (NCRs) relating to supplier-provided equipment, and assess the commercial and contractual impact on the affected project.
- Determine warranty entitlement—confirming whether an issue is covered, and who bears responsibility for parts, labour and associated costs (supplier vs. Fluence).
- Collaborate with the Quality team on root-cause and 8D analysis to establish the responsible party and capture supporting evidence.
- Manage and execute the supplier warranty claims process end to end, including notification, documentation, RFIs, follow-up and challenge of supplier rejections.
- Negotiate and agree commercial solutions where suppliers cannot meet warranty KPIs—for example credit notes, supplier-funded labour, replacement parts, warranty extensions or settlement packages.
- Act as the single regional point of contact for suppliers on warranty matters, making it straightforward for suppliers to engage and resolve issues quickly.
- Track and report recovery status, case ageing, credit notes and supplier response times, maintaining accurate records of claims, correspondence and outcomes.
- Identify patterns and serial defects early, feeding failure data and lessons learned back to Engineering, Quality and Procurement to reduce recurrence.
- Escalate only material, disputed or strategic matters to the Claims, Legal or Procurement/GPO teams, keeping routine warranty issues out of formal claims.
- Drive continuous improvement of the warranty process to enhance accountability, recovery rates and supplier performance across the region.
Key Qualifications & Experience
- Minimum 5+ years’ experience in warranty claims, supplier quality, contract or commercial management, ideally within the construction, energy or industrial manufacturing sectors.
- Bachelor’s degree in Engineering, Supply Chain Management, Quality Management, Law, or a related field (or equivalent professional experience).
- Strong understanding of supplier warranty agreements and quality-assurance principles, with sound contractual and commercial acumen.
- Demonstrated experience of NCR processes and root-cause analysis methodologies (e.g. 8D, Six Sigma / Lean).
- Excellent analytical, communication and negotiation skills, with the ability to hold suppliers to account while maintaining constructive relationships.
- Able to work independently, manage multiple stakeholders, and coordinate across Quality, Services, Procurement, Project Management, Finance and Legal.
- Proficient in Microsoft Office and ERP/QMS systems (e.g. SAP, Oracle, or equivalent).
- Actively contributes to the adoption of AI and digital innovation to support the transformation and future evolution of warranty and claims management (e.g. data analytics, defect-trend detection and process automation).
- Familiarity with ISO 9001 or similar quality-management systems is desirable.
- Six Sigma or Lean certification is a plus.
- English business fluency.
