This position provides the opportunity to join our team at an exciting time where you will have the opportunity to work on some of the world’s leading events such as MWC Barcelona. We are looking to welcome a relationship builder, team player and problem solver with prior experience and knowledge in event registration and technology. The Technology, Innovation and Customer Experience team (TICX) are responsible for technical and operational delivery for the attendees at our events with a focus on our registration systems, event apps and onsite delivery including access to the event. As a team, we are a global group of high-performance event specialists who work collectively to successfully deliver events ranging from 300 to over 100,000 attendees across all regions of the world.
The Event Registration/Technology Project Manager will report to the Head of Technology, Events and will hold a pivotal position supporting our existing teams in the full life cycle of our events from pre-event planning to onsite delivery. The successful candidate will work closely with the existing team as well as be the main point of contact across the business for their assigned projects/workstreams.
Key activities and responsibilities will include:
- Project Management - keep projects on track and stakeholders informed from kick-off to delivery: Coordinate and schedule project meetings; Manage project milestones, deliverables, and co-ordinate with internal teams to ensure we keep on track.
- Stakeholder Management - build the relationships and shared understanding that keep delivery moving: Building and owning working relationships to fully support project teams during analysis and planning stages; Brief clients on how the digital platforms work, ensuring all the delivery of the products; Assist internal stakeholders and where applicable contact center with training and training documentation, acting as a point of contact for related enquiries where required.
- Registration Systems - configure and maintain the systems that run the event: Configure and set up of our event registration systems including pass configuration and email/system content; Lead User Acceptance Testing (UAT) - creation of test plans, working with internal stakeholders to ensure the systems are signed off against the agreed scope of work; Contribute to the evolution of our event technology platform by providing support with the gathering of business requirements, documenting process flows and making recommendations for improvements.
- Registration Logistical & Operational Planning - plan and resource the onsite registration operation: Dimensioning of onsite services; Collateral design & ordering; Signage planning; Onsite scanning both perimeter and sessions; Onsite staff including training; Risk & contingency planning.
- Process & Documentation - create and maintain the materials that keep delivery repeatable: Onsite processes and FAQs where applicable; Documents for the digital onboarding of our customers into our platforms.
- Reporting, Budgeting & Planning - inform decisions with data and own your areas of spend: Provide analytical support through reporting and data insights; Budgeting for areas of assigned responsibility; Contribution to roadmap and planning meetings.
About You
- Demonstrable experience in event registration with technical and operational responsibilities.
- International event, conference or tradeshow experience as an organiser.
- Experience configuring and delivering event technology including registration systems, virtual event platforms, event apps such as Cvent, RainFocus, Stova or other SaaS platforms etc.
- Operational/logistical event planning experience e.g., build, throughput analysis, signage, temporary staff scheduling, collateral design, and delivery.
- Excellent communication and presentation skills with the ability to explain complex processes to non-event or technical colleagues.
- Supplier management experience.
- Awareness of data privacy, GDPR and information security principles.
