We are seeking a dynamic and organised Office Administrator for our accountancy practice, to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, maintaining efficient office workflows, and supporting team members to foster a productive and welcoming workspace. Responsibilities

  • Manage daily office operations, including greeting visitors and handling incoming calls with professionalism and courtesy
  • Maintain a consistent office presence to act as the first point of contact for clients
  • Maintain accurate records through data entry, filing systems, and document management using practice management software
  • Coordinate appointments, meetings, and calendar schedules for staff members to optimize productivity
  • Process invoices and manage debt recovery
  • Support administrative projects such as preparing reports, drafting correspondence, and organising office supplies
  • Ensure the office environment remains organised, clean, and well-stocked to promote efficiency
  • Assist with onboarding new clients by preparing necessary documentation and AML checks
  • Deal with small tasks related to Companies House and HMRC
  • Undertake ad hoc tasks as required

Requirements

  • Proven experience in an administrative or clerical role with strong organisational skills
  • Excellent phone etiquette with the ability to communicate clearly and professionally
  • Strong typing skills and attention to detail for accurate data entry and document preparation
  • A background in accountancy and company secretarial work would be beneficial
  • Multilingual skills preferable
