Responsibilities
- Manage daily office operations, including greeting visitors and handling incoming calls with professionalism and courtesy
- Maintain a consistent office presence to act as the first point of contact for clients
- Maintain accurate records through data entry, filing systems, and document management using practice management software
- Coordinate appointments, meetings, and calendar schedules for staff members to optimize productivity
- Process invoices and manage debt recovery
- Support administrative projects such as preparing reports, drafting correspondence, and organising office supplies
- Ensure the office environment remains organised, clean, and well-stocked to promote efficiency
- Assist with onboarding new clients by preparing necessary documentation and AML checks
- Deal with small tasks related to Companies House and HMRC
- Undertake ad hoc tasks as required
Requirements
- Proven experience in an administrative or clerical role with strong organisational skills
- Excellent phone etiquette with the ability to communicate clearly and professionally
- Strong typing skills and attention to detail for accurate data entry and document preparation
- A background in accountancy and company secretarial work would be beneficial
- Multilingual skills preferable
