We are looking for a highly organised and proactive Team Assistant & Office Support Coordinator to join our London headquarters. This hybrid role provides essential support across two key areas:
- EA Capacity Support – assisting with diary coordination, meeting preparation, travel and administrative tasks across the business.
- Office Operations & Front-of-House – ensuring a professional, welcoming, and well-run office environment.

Key Responsibilities
- EA & Team Support (Overflow Capacity)
- Supporting diary coordination and scheduling for practice areas members.
- Supporting travel bookings and logistics when required.
- Helping maintain team distribution lists, SharePoint folders, and internal documentation.
- Formatting documents, presentations, and client materials.
- Providing ad-hoc administrative support to EAs and the wider business.
- Office Operations & Administration
- Supporting the Office Manager with day-to-day office operations.
- Managing office supplies, equipment, and meeting room readiness.
- Assisting with onboarding tasks (desk setup, welcome packs, access cards).
- Helping maintain a tidy, organised, and professional office environment.
- Supporting internal processes such as expenses, printing, scanning, and filing.
- Coordinating couriers, post, and deliveries.
- Front-of-House
- Acting as the first point of contact for all visitors to the London office.
- Managing the reception desk with professionalism and warmth.
- Greeting clients, candidates, and guests, ensuring an excellent first impression.
- Managing the visitor log, security passes, and arrival notifications.
- Handling incoming calls and general enquiries.
- Ensuring reception and communal areas are presentable at all times.
- Meeting, Event & Visitor Coordination
- Managing meeting room bookings and coordination with the wider team with requests.
- Preparing meeting rooms for client meetings, workshops, pitches, and interviews.
- Coordinating refreshments, catering, and room setup.
- Supporting logistics for internal and external events.
- Ensuring all visitors receive a seamless, high-quality experience.
- Liaising with internal teams to ensure rooms, materials, and technology are ready.
