We are seeking a highly organised, proactive Executive Assistant to provide high-quality support within our growing business. This role offers an exciting opportunity to join a dynamic team operating at the intersection of policy, regulation, and commercial strategy. This role provides direct support to the Partner group, while also coordinating administrative and operational activity across the practices. You will play a central role in ensuring consistent, high-quality support across the practice and alignment with Flint’s ways of working.
We are looking for a confident communicator, a natural organiser, and a true team player who thrives in a fast-paced environment with competing priorities. You will be comfortable acting as a gatekeeper, anticipating needs, and ensuring the smooth running of day-to-day operations.
Key Responsibilities- Partner Support
- Proactive diary and workload management, ensuring time is used effectively and priorities are protected
- Preparing agendas, briefing materials, and meeting packs
- Minuting meetings and tracking follow-up actions
- Anticipating needs and ensuring Partners are fully prepared for internal and client engagements
- Managing travel itineraries, logistics, and entertainment arrangements
- Practice Support
- Coordinating administrative activity across the practice areas within the business
- Ensuring consistent communication and alignment with Flint’s EA ways of working
- Supporting individuals within the practice areas with scheduling, meeting preparation, and operational queries
- Managing practice-wide distribution lists and SharePoint content
- Operational Support
- Acting as first point of contact for visitors and covering front desk when required
- Maintaining and updating the CRM (HubSpot), ensuring data accuracy and completeness
- Managing mail merges and supporting client communications
- Supporting internal processes, including expenses, document formatting, and internal reporting
- Providing occasional research support
- General office tasks (printing, scanning, shredding)
- Client & External Coordination
- Liaising directly with senior-level clients and external stakeholders
- Ensuring a professional, consistent, and timely response to enquiries
- Supporting the coordination of client meetings, events, and briefings
- Experience supporting multiple senior stakeholders in a fast-paced environment
- Strong organisational skills with the ability to prioritise, adapt, and manage competing demands
- A proactive, self-driven approach with the confidence to take ownership and use initiative
- High levels of discretion and professionalism when handling sensitive information
- The ability to anticipate needs, resolve issues, and maintain momentum across multiple work streams
- A collaborative, hands-on attitude and willingness to support colleagues across the practice
- Excellent communication skills, both written and verbal
- Strong MS Office skills and confidence working with digital tools and systems
