Directly responsible for supporting the firmâs Managing Partner (North) at Flint Bishop Limited on a day-toâday basis. This role is responsible for providing comprehensive support to the Managing Partner, both in the operational running of the business and on the delivery of projects throughout the Firm.
Key tasks include:
- Diary management on behalf of the Managing Partner, to include:
- Proactively ensuring all key meetings are booked on a weekly/biâweekly/monthly basis as required, including HOD & Partner update meetings.
- Prepare a daily agenda each morning with details of all meetings and any supporting documents/information.
- Prepare and distribute agendas for all meetings.
- Ensure all actions and tasks set by the Managing Partner in meetings are followed up efficiently and delivered by the stipulated deadline.
- Proactively work with the Managing Partner to identify any upcoming meetings and establish any particulars as required.
- Take minutes of all meetings and share with relevant parties.
- Retain organised files/records of all meetings.
- Actively participate in meetings as required, including summarising agreed actions, setting deadlines and individual involvement in project work.
- Maintain confidentiality and professionalism at all times.
- Plan high-level meetings, visits, and events in line with the Managing Partner guidelines, ensuring all details are confirmed with confidentiality.
- Book internal & external meeting venues as required.
- âWalkâ meeting space prior to the meetings to ensure set up is in accordance with requirements.
- Prepare food and beverage requirements for senior visitors and meetings alongside the administration team.
- Prepare information packs as needed.
- Collate information from participants in advance and ensure this is readily available.
- Walk the Leeds office floors daily and ensure any key findings are reported to the Managing Partner.
- Act as the 1st point of contact for HODs and Partners requiring meetings or time with the Managing Partner.
- Where necessary, work alongside the PA to the CEO on shared C suite team projects and office initiatives.

- Remind the Managing Partner of any upcoming milestone celebrations for staff (this information will be provided by a member of the HR team).
- Arrange cards and gifts as required.
- Provide support to the Managing Partner in the prioritisation of his workload and responding appropriately and filtering requests on his behalf.
- Answer calls as required on the Managing Partnerâs behalf.
- Book and arrange travel and accommodation for the Managing Partner where required.
- Greet and direct VIP visitors on behalf of the Managing Partner.
- Prepare and send out companywide communications on behalf of the Managing Partner.
- Any other reasonable tasks as required by the Managing Partner.
Skills, Knowledge and Expertise:
- At least 2-3 yearsâ experience in an operational support role.
- Excellent organisational and prioritisation skills.
- Excellent time management skills with the ability to multiâtask and to meet tight deadlines.
- Strong interpersonal skills, both verbal and written.
- Comfortable communicating with staff at all levels within the business.
- Demonstrate a âcan doâ attitude and a proactive approach to work.
- Proficient use of Microsoft Office including Excel.
- Highly motivated and have the ability to genuinely add value to the role.
