We are seeking a highly organised and proactive Local Support Administrator to join our team in Tokyo.
This role is ideal for someone with a strong background in international staffing and office management, particularly within the aviation industry. You will be the key liaison between our Tokyo office, international headquarters in the UK, Japanese airline clients, and foreign flight crew members.
Candidates must already have the right to live and work in Japan.
Key Responsibilities

  • Independently manage our Tokyo ground operations, ensuring smooth daily operations.
  • Assist with the full recruitment and placement cycle of foreign flight crew members for our Japanese clients.
  • Provide end-to-end support to the Regional Manager – Japan with management of expatriate crew members, including onboarding, contract management, and daily operational assistance.
  • Coordinate recruitment activities, including scheduling, attending screenings and medical evaluations, and supporting candidates throughout the process.
  • Act as a liaison between HQ (London), Japanese clients, and crew members to resolve issues and ensure alignment.
  • Support Regional Manager – Japan with contract negotiations and manage crew member retirements and transitions.
  • Conduct regular meetings with clients and crew to maintain strong relationships and address concerns.
  • Provide translation and interpretation services as needed.
  • Participate in the planning and execution of new projects and client contracts.
  • Monitor and manage behavioural issues among crew members, ensuring professional standards are upheld.

Qualifications

  • Proven experience working with foreign companies, preferably in aviation or international staffing.
  • Strong administrative and coordination skills with the ability to manage multiple stakeholders.
  • Excellent inter-personnel, communication and negotiation skills in both English and Japanese.
  • Experience supporting expatriates and managing cross-cultural challenges.
  • Ability to work independently and take initiative in a fast-paced environment.
  • Proficiency in Microsoft Office and general office systems.
