About the Role

Our client is seeking an experienced Senior Medical Secretary to lead and coordinate the administrative function across its growing private healthcare services. This is an exciting opportunity for a highly organised and proactive individual to manage a team of Patient Pathway Coordinators, ensuring the smooth delivery of patient booking, pathway management, and administrative processes for both self-pay and insured patients. The successful candidate will play a key role in driving service excellence, supporting operational performance, and enhancing the patient experience.

Key Responsibilities

  • Lead, supervise, and support a team of Patient Pathway Coordinators
  • Manage administrative workloads and ensure appropriate service cover
  • Monitor referrals, inboxes, clinic activity, and booking performance
  • Build and manage clinic rotas across private services
  • Act as the first point of contact for B2B partners and external agencies
  • Coordinate patient journeys from referral through to treatment and follow-up
  • Support patient bookings, payments, investigations, results, and correspondence
  • Monitor key systems including Semble, IRIS, and Apollo Radiology
  • Handle patient queries, concerns, and complaints professionally and efficiently
  • Lead staff induction, training, appraisals, and performance management
  • Work collaboratively with clinical, operational, IT, finance, and support teams

What We're Looking For

Essential

  • Previous experience in a senior medical secretary, healthcare administration, or team leader role
  • Strong understanding of private healthcare administrative processes
  • Experience managing patient pathways and clinic bookings
  • Excellent organisational and workload management skills
  • Strong communication skills with the ability to engage confidently with patients, clinicians, and external stakeholders
  • Experience using Microsoft Office applications
  • Knowledge of healthcare confidentiality and data protection requirements
  • Ability to work independently and make decisions in a fast-paced environment

Desirable

  • Experience supervising or line managing administrative teams
