About the Role

We are recruiting an organised and proactive Medical Secretary to join the administrative team within a private healthcare organisation in Birmingham. This role is key to supporting the smooth running of patient pathways across multiple specialties, ensuring high-quality administrative support and an efficient patient experience throughout community and clinical services.

Key Responsibilities

  • Coordinate and support administrative processes across the patient journey
  • Manage appointments, waiting lists, clinic bookings, and follow-up arrangements
  • Process referrals, consultation letters, and clinical correspondence
  • Liaise with GPs, clinical teams, patients, and external agencies to ensure seamless care coordination
  • Maintain and update patient information on clinical systems accurately
  • Support RTT targets and ensure adherence to service protocols and timescales
  • Handle incoming calls, patient enquiries, and specialty inbox management professionally
  • Undertake general office duties including scanning, filing, photocopying, and diary management
  • Support reception and front desk duties where required
  • Participate in data validation, audits, and activity reporting using clinical systems and Excel
  • Support induction and training of new administrative staff
  • Provide cross-cover and flexible support across teams and Modality sites when required

Essential

  • Previous administrative or medical secretary experience
  • Strong organisational and communication skills
  • Good working knowledge of:
    • Microsoft Word
    • Excel
    • Outlook
  • Ability to manage workload effectively under pressure
  • Professional and patient-focused approach
  • Ability to work independently and as part of a team

Desirable

  • Previous NHS or healthcare provider experience
  • Knowledge of SystmOne
  • Experience using NHS E-Referral systems
  • Understanding of RTT pathways and healthcare administration processes
