Fletchers Group have a fantastic opportunity to join our growing Team. We are looking for a highly organised, proactive and personable Executive Assistant/Receptionist to join our Business Support team on a 10-month fixed-term contract, covering maternity leave. Based in our Liverpool office and reporting to the Business Support Manager, this is a varied and fast-paced role that plays a vital part in supporting our Directors and ensuring a welcoming, well-run Front of House environment.

This role is ideal for someone who thrives on organisation, enjoys working with senior stakeholders, and takes pride in delivering a professional and positive experience for colleagues and visitors alike. You will combine high-level PA support with Front of House and facilities responsibilities, helping to create a structured, efficient and friendly workplace where our leaders and teams can perform at their best.

Main responsibilities

  • Personal Assistant/Receptionist support: The overall purpose is to create and maintain a well organised and structured environment in which directors can be highly effective.
  • Optimise directors / teams time via skilled, proactive diary and logistical management.
  • Represent Fletcher positively with external support teams (e.g. at owners, advisors etc.) and manage external meetings where appropriate.
  • Ensure meetings and events are thoughtfully planned and designed to maximise efficiency of directors time and to ensure they align to our business needs.
  • Support the preparation of materials for key meetings, and attend management meetings and make notes, take minutes, or record actions, as appropriate.
  • Assist the leadership team to thoughtfully respond to significant events in our colleagues lives.
  • Provide general administrative support to the leadership team.

Reception Support

  • Support the Business Support Manager with maintaining effective Front of House Service Delivery across the FSG Estate.
  • General housekeeping and office maintenance – stock checking, restocking the kitchen throughout the day – cans, juice, tea, coffee, sugar, biscuits, kitchen rolls, hand wash, washing up liquid etc. Checking dates on milk and ensuring sufficient stock; pick up extra when required.
  • Keeping the office clean and tidy throughout the day, including washing up and wiping down surfaces.
  • Keeping the meeting rooms clean and stocked.
  • Facilities support, deliveries – checking, unpacking and putting items away; updating the order spreadsheet; reporting missing items to supplier.
  • Meeting rooms bookings – setting up meeting rooms and clearing them after use; organising lunches and laying them out.
  • Dealing with visitors to the office.
  • Collect post from Ground Floor Reception / distributing internal and external post / organising parcel deliveries.

Essential skills and experience

  • Strong administrative and organisational skills, ideally gained in a PA/EA role.
  • Excellent, effective communication and people skills with the ability to recognise and manage sensitive situations appropriately.
  • Ability to work independently and to prioritise a workload, supporting several executives with different needs at different times.
  • Excellent Microsoft Office (Word, Excel, PowerPoint and Outlook) skills.
  • Ability to record and write accurate, concise minutes and notes of meetings.
  • Demonstrable problem-solving skills.
