1. Electric Vehicle Salary Sacrifice Scheme Administration
The apprentice will play a central role in supporting the end-to-end administration of employer EV Salary Sacrifice schemes, including:
- Sending finance application links to prospective employer clients following sales qualification, and tracking responses
- Collecting employer admin portal email addresses and setting up employer accounts
- Receiving and processing Master Hire Agreements from Lex Autolease, preparing them for employer signature and managing the return process
- Monitoring the shared inbox for finance acceptance and decline notifications from Lex Autolease, and taking appropriate follow-up action
- Confirming customer vehicle orders via the Automotus platform and submitting orders to the Lex portal in line with signed customer order forms
- Liaising with vehicle dealers to confirm delivery timescales and updating delivery dates within Automotus every two weeks to ensure accuracy
- Coordinating insurance arrangements, ensuring alignment with confirmed delivery dates
- Sending customer payment schedules downloaded from the Lex portal and managing document distribution
- Logging order and delivery updates to the internal Slack Sal Sac channel to keep the wider team informed
- Supporting post-delivery account management, including scheduled check-ins with employer clients
- Assisting with credit limit increase requests for employer accounts as vehicle orders grow
- Sending post-delivery customer satisfaction and Trustpilot review request emails
- Maintaining accurate and up-to-date records in Automotus throughout the customer journey
- 2. Public Sector Outright Purchase Support
The apprentice will provide administrative and customer service support to the Public Sector sales team, including:
- Data entry and record management for Public Sector outright purchase transactions
- Uploading and filing vehicle order documentation, quotations, and purchase orders
- Maintaining accurate customer and deal records in the CRM
- Assisting with correspondence, document preparation, and the coordination of paperwork between customers, suppliers, and internal teams
- Supporting the team with any ad hoc administrative tasks as required
- 3. EV Business Leasing & Contract Hire Support
The apprentice will support the administration of business leasing and contract hire customers, including:
- Outbound calling β proactively contacting existing and prospective customers to update records, qualify interest, book appointments for the sales team, and support database cleanse activity
- Handling inbound enquiries by telephone and email, providing a professional first point of contact and directing customers appropriately
- Data entry and upload of customer and vehicle information across internal platforms
- Assisting with the preparation and distribution of customer documentation including quotations, order confirmations, and contract paperwork
- Maintaining up-to-date records in Automotus and other business systems
- Supporting the sales team with general administrative tasks across the leasing and contract hire portfolio
- 4. General Operations & Office Support
- Managing and prioritising tasks across a shared team inbox, ensuring timely responses and appropriate escalation
- Maintaining organised digital filing systems for contracts, agreements, and correspondence
- Supporting the production of internal process documentation as workflows are refined and automated
- Participating in team meetings, contributing to process improvement discussions
- Undertaking any other reasonable administrative duties as required by the team
Skills, Knowledge & Attributes
Essential
- Grade C or above in Maths, English GCSE or equivalent
- Good standard of written and verbal communication
- A customer-first mindset β professional, friendly, and solution-oriented in all interactions
- Comfortable making outbound calls and speaking with customers and stakeholders by telephone
- Strong attention to detail and accuracy when handling data
- Organised and able to manage multiple tasks with competing priorities
- Comfortable working with digital tools, email, and Microsoft Office (Word, Excel, Outlook)
- Proactive, willing to learn, and able to take initiative
- Reliable, professional, and a good team player
Desirable (not required β training will be provided)
- Any prior experience in customer service, sales support, or administration
- Familiarity with CRM systems or business software
- Interest in electric vehicles or the automotive sector

This role is offered as part of a Level 3 Business Administration Apprenticeship delivered in partnership with Cardiff & Vale College.
The standard incorporates a customer service pathway, and all practical activities in this role β including outbound calling, client communication, and stakeholder coordination β are designed to generate evidence against the apprenticeship standard.
Full on-the-job training will be provided across all areas of the role.
The apprentice will receive structured support from the team, access to all relevant systems and platforms, and regular one-to-ones to support progression.
There is genuine potential for a permanent role on successful completion of the apprenticeship.
