Our Facilities team plays a key role in keeping the business running smoothly. As a central function within our London office, the team ensures we provide a welcoming, well-equipped environment where employees can do their best work.
As a Facilities Coordinator, you will work closely with the Workplace Operations Manager to provide essential support to the wider office staff and sales teams. This role requires someone who is resourceful, highly organised, and comfortable working in a fast-growing, dynamic environment. You will manage multiple priorities, work to deadlines, and interact with a lot of Flatpay colleagues daily.
The role will involve supporting the onboarding of new employees, managing supplier and contractor relationships, and responding to internal helpdesk queries. You will also assist with the day-to-day running of the office, including ordering stationery and refreshments.
This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in delivering a five-star workplace experience. Location: London/White City (Office-based, 5 days per week)
KEY RESPONSIBILITIES
- Ensure a safe, welcoming, and well-organised workspace for all staff at the London office.
- Coordinate day-to-day supplier and contract relationships across warehouse, couriers, consumables, and merchandise providers.
- Order, stock, and maintain office supplies, including snacks, drinks, stationery, and general consumables.
- Support the onboarding of new employees by coordinating the setup of workstations, laptops, mobile devices, and starter kits.
- Provide support to the team by managing and responding to internal helpdesk tickets.
- Assist with office moves, restacking, and space reconfigurations as required.
- Support inventory and stock management of IT equipment, phones, marketing materials, and merchandise.
- Assist with the administration of office services such as parking, mileage tracking, and DocuSign requests.
- Carry out light maintenance and ad-hoc tasks to ensure office areas remain functional and well presented.
- Set up, maintain, and organise office equipment and furniture to support day-to-day operations.
