We're looking for an Executive Operations Specialist to help us accomplish our mission to improve and extend lives by learning from the experience of every person with cancer. What You’ll Do
- Join the Executive Operations team and work cross-functionally with the Office Operations and IT Operations teams to provide essential administrative and operational support for the Global Business Solutions business unit.
- Responsible for workflow planning and process for shared services programs managed by the GBS team. Examples include: Sub-lease management, Policy publications creation and updates, Travel program oversight and Event coordination planning.
- Provide administrative support to senior leaders and their teams, including calendar management, travel coordination, and expense report management.
- Coordinate external client meetings and facilitate onsite meetings including catering and space coordination.
- Act as onsite liaison for events/meetings hosted by senior leaders.
Who You Are
- A kind and collaborative problem-solver with 2-3 years of experience as an Executive Assistant or Office coordinator.
- A super organized, detail-oriented, team-focused individual who thrives in a fast-paced environment with continually shifting priorities.
- Able to manage a high volume of requests and independently meet deadlines.
- Strong organizational skills and attention to detail.
- Ability to think on your feet, change or adapt to ambiguous situations and make on-the-spot decisions without sacrificing attention to detail.
- Ability to juggle multiple priorities at once and stay calm under pressure.
- An effective communicator with experience calendaring for multiple leaders and teams using Google suite.
- Adaptable and eager to learn, confident working in tech-enabled environments and contributing to system and process improvements.
Optional
- Fluent in Japanese or German.
- Experience with sustainability platforms such as Carbon Disclosure Project and Ecovadis.
- Experience with Concur.
