Fleet Administrator – Wembley

We are seeking a proactive and reliable Fleet Administrator. They will be responsible for maintaining accurate and up-to-date fleet records, supporting the Fleet Manager in ensuring that the company meets all legislative, safety, and audit requirements. This role is vital for maintaining operational efficiency, minimising downtime, and supporting the safe and legal running of the fleet.
Overview
Role: Fleet Administrator. Location: Wembley. The role focuses on maintaining fleet records, supporting compliance, and enabling efficient fleet operations.
Key Responsibilities
Vehicle Records & Compliance
- Maintain accurate electronic and paper records for all company vehicles, including V5C, MOT, insurance, VED and maintenance history.
- Schedule, track, and record all services and MOTs.
- Update and maintain vehicle records from purchase to disposal.
- Support in managing vehicle acquisitions, disposals, and transfers.
Driver Records & Compliance
- Maintain driver files, including licences, medicals, training certificates, and induction records.
- Conduct and log regular DVLA licence checks and follow up on any issues.
- Collate telematics reports (fuel efficiency, speeding, idling, harsh braking) and maintain trend records.
Fuel Management
- Maintain fuel card allocations, issue cards, and process cancellations.
- Reconcile fuel card statements against vehicle usage.
- Highlight unusual consumption trends for investigation.
Fleet Insurance
- Maintain an incident / accident log and ensure all accident reports, photographs, and investigation forms are completed and filed.
- Liaise with insurers and repairers to progress claims efficiently.
Compliance & Audit Preparation
- Maintain accurate compliance documentation for audits (FORS, DVSA, ISO, or internal).
- Ensure document retention and archiving meets legal and company policy requirements.
- Assist with gathering evidence for external audits.
General Administration
- Answer transport-related queries from drivers, management, and external bodies.
- Maintain filing systems and databases.
- Provide administrative cover for the Transport Manager if required.
- Support continuous improvement initiatives in transport administration processes.
- Strong attention to detail and organisational skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Proficiency in MS Office (Excel, Word, Outlook).
- Good communication skills (written and verbal).
- Understanding of UK transport compliance, including Operator Licence requirements, tachograph rules, and FORS standards (advantageous).
- Experience with tachograph data handling and analysis (advantageous).
- FORS or DVSA Earned Recognition experience (advantageous).
Qualifications & Experience
- Previous experience in a fleet & transport administration support role (essential).
- Knowledge of DVSA compliance requirements (essential).
- Transport Management CPC (advantageous)
