The Parts & Service Controller is responsible for the effective control of OEM callouts to machine breakdowns, warranty claims and the ordering of plant parts and materials. The role plays a key part in cost control, compliance, and maintaining strong supplier relationships.
Key Responsibilities
- Manage the ordering, receipt, storage, and issuing of plant and machinery parts
- Ensure critical parts availability to minimise equipment downtime
- Liaise with workshop engineers to identify parts requirements
- Source parts from approved suppliers, negotiating pricing and lead times where appropriate
- Raise purchase orders and match delivery notes and invoices
- Identify warranty-eligible repairs and components
- Prepare, submit, and track warranty claims with OEM’s and suppliers
- Monitor warranty breakdowns
- Report on rejected or disputed claims
- Maintain clear documentation for audit and cost control purposes
- Support fleet cost reporting by tracking parts usage and warranty recoveries
- Build strong working relationships with suppliers, manufacturers, and internal teams
Skills & Experience Required
Essential
- Strong organisational and administrative skills
- Good IT skills
- Ability to work in a high-pressure environment managing multiple priorities
- Strong communication skills and attention to detail
- Experience using ERP/Fleet/Parts systems
Desirable
- Previous experience as a Parts and/or Service Controller
- Experience within plant hire, construction, HGV, or heavy equipment industries
- Knowledge of breakdown reporting processes
- Understanding of mechanical or plant equipment terminology
