The Opportunity: We are seeking a proactive, detail-orientated Event Executive to join our growing team. Supporting one of our experienced Event Managers, you will play an important role across a diverse programme of global events, gaining hands-on experience across all stages of event delivery, with opportunities for on-site delivery and international travel. Outsourced Events is a fast-paced, vibrant and supportive environment where you’ll gain exposure to a wide variety of event formats including conferences, tradeshows, exhibitions and hybrid events. You will support the Event Manager and wider project teams in the smooth and efficient delivery of our portfolio of events, ensuring excellent organisation, communication and attention to detail throughout the planning process.
Responsibilities:
- Supporting the planning and operational delivery of events including conferences, tradeshows, exhibitions and dinners.
- Assisting with venue research, venue liaison and supplier coordination across event projects.
- Contributing to the development and maintenance of project plans and timelines within Monday.com.
- Supporting the digital platform team in delivering event technology solutions, including registration pages, event apps, digital engagement tools, and microsites. Experience with platforms such as Swoogo, Swapcard, CrowdComms, Slido and Eventbrite is advantageous.
- Supporting the preparation of client presentations, reports and event documentation.
- Managing event communications including delegate queries, inbox management and the preparation of joining instructions and FAQs.
- Assisting with hotel sourcing, rooming list management and delegate logistics.
- Supporting speaker management including communications, information collection and expense processing.
- Liaising with sponsors and suppliers to gather required event information and service orders.
- Assisting with sourcing and obtaining competitive supplier quotes for event services.
- Supporting inventory management and shipment coordination with warehouses and event organisers.
- Preparing weekly client updates and supporting Event Managers with project reporting.
- Attending events onsite to support registration, sponsor liaison and the delivery of a seamless delegate experience.
- Assisting with post-event reporting including evaluation form creation and analysis.
The Person: We are looking for a motivated and organised event professional who enjoys working in a fast-paced environment and is eager to develop their career in event management.
Essential qualities and experience:
- Proven experience delivering live events, ideally involving operational delivery, supplier coordination and on-site support.
- Strong face-to-face communication skills and a client-focused mindset.
- Excellent organisational skills and exceptional attention to detail.
- Ability to manage multiple projects and deadlines simultaneously.
- Comfortable taking ownership of tasks and ensuring deliverables are completed on time.
- Highly organised with strong time-management skills.
- Proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Ability to present information clearly and logically while maintaining brand consistency.
- A dedicated team player with a strong work ethic and desire to learn.
- Excellent command of written and spoken English.
- Willingness to travel overseas for site visits and event delivery.
Desirable:
- Experience in platforms such as Swoogo, Swapcard, CrowdComms, Slido and/or Eventbrite would be advantageous.
- Fluency in an additional language would be an advantage, especially languages spoken across Europe or the Middle East.
- Educated to degree level or equivalent.
