We are a London-based Family Office supporting a private family, managing personal, operational and property-related matters with discretion and professionalism behind the scenes.
We are seeking a highly organised, proactive and discreet Executive Assistant & Concierge for a trusted hybrid role combining executive support, concierge coordination, office administration and project coordination, alongside oversight of property-related operations across the family’s portfolio.
Acting as a key day-to-day point of contact, you will help ensure continuity across family requirements, office priorities and property matters, working with an outsourced property management provider to coordinate maintenance, contractors, service charges, insurance and property-related tax administration.
The role spans two core priorities: delivering high-level executive and concierge support when the principals are in residence and providing broader operational and project support to the Family Office during periods of international travel.
Key Responsibilities:- Provide executive support, including diary management, travel coordination and correspondence.
- Act as a key point of contact for day-to-day family, office and concierge requests.
- Coordinate travel, reservations, events, guest arrangements and lifestyle services.
- Support oversight of the property portfolio, including maintenance, contractors, compliance and service providers.
- Assist with invoices, expenses, records and general office administration.
- Liaise confidently with senior stakeholders, suppliers and outsourced partners.
- Support projects, improve processes and help ensure smooth day-to-day operations across the Family Office.
- Proven experience in a similar Family Office, private household, EA, concierge or luxury hospitality role.
- Strong organisational skills, attention to detail and ability to manage multiple priorities.
- Confidence supporting senior stakeholders and handling sensitive matters discreetly.
- Experience coordinating suppliers, contractors or property-related activity is desirable.
- Strong administrative and digital skills, including Microsoft 365.
