We’re looking for an Administration Assistant to join our friendly Head Office team. You’ll play a key role in supporting areas such as warehouse, logistics, stock control, service teams, and site facilities. You’ll be helping to ensure everything behind the scenes runs like clockwork. This is a role for someone who enjoys variety, problem-solving, and being at the heart of day-to-day operations.

What you’ll be doing:
- Product & Service Support Administration: Be the go-to administrative contact for product support, product service and installation queries; coordinate communication between internal teams, suppliers, and service partners; log, track, and escalate issues; keep accurate records of service cases, actions and outcomes.
- Returns, Claims & Credits Administration: Maintain photographic and written evidence for supplier/carrier claims; liaise with suppliers and carriers to arrange collections and resolve claims; support finance with credit note processing; track claim progress and keep records updated.
- Stock Control & Inventory Support: Assist with stock quarantine, refurbishment, and reclassification; ensure accurate labelling, documentation and processed in the WMSS; support audits and report discrepancies; flag supplier non-compliance.
- Showroom & Display Stock Administration: Coordinate removal and processing of ex-display items; liaise with stores, installers and carriers; maintain accurate internal records; support showroom presentation standards.
- Spare Parts & Product Data: Support marketing with spare parts data, SKUs, and pricing; liaise with procurement and suppliers; assist with repackaging, labelling, and quality control admin; maintain accurate product and parts information.
- Installation & Service Team Support: Help resolve issues by coordinating between departments; maintain health & safety, equipment and compliance records.
- Site & Facilities Coordination: Support site security administration, access control, and contractor management; liaise with external service providers; maintain facilities-related documentation; support satellite locations with administrative guidance.
- Health, Safety & Equipment Administration: Maintain MHE inspection records and daily checks; log equipment issues and arrange maintenance; acknowledge and authorise invoices; support compliance and audit requirements.
What you’ll bring:
- At least 12 months’ experience in an office-based role
- Confident using operational systems and Microsoft Office (Excel, Word, Outlook)
- Strong communication skills – written, verbal, and face-to-face
- Excellent organisation and attention to detail
- Ability to juggle multiple tasks in a fast-paced environment
- A proactive, solution-focused mindset
- A team player who enjoys working collaboratively
