As our People & Reward Administrator, you will provide practical and accurate support across the People Team, helping to keep our people data, employee access, benefit processes and day-to-day administration running smoothly.

This role provides essential administrative support across the People Team, helping to deliver a smooth and positive experience for employees throughout their journey with FitFlop. You will own a variety of people processes, including onboarding, employee lifecycle administration, maintaining employee records, responding to queries, coordinating benefits activity, supporting payroll preparation and assisting with people reporting.

Working closely with colleagues across the business, you will help ensure people information is accurate, administration is well organised, and key People Team activities are delivered efficiently and on time. A key part of the role will be supporting system and data quality. You will help maintain Cascade and the Howden benefits portal, support regular data integrity checks, create employee access where needed, and keep trackers, process notes and handover information up to date.

The Responsibilities:

  • People, Payroll & Reward Administration: Act as a shared administrative resource across the People Team, supporting agreed activity and priorities as needed. Support payroll, reward and benefits administration, ensuring information is accurate, well organised and completed on time. Help prepare payroll and benefit information for review, including checking changes, following up missing details and escalating any issues. Support administration for starters, leavers, contractual changes, benefit updates and other employee lifecycle activity. Maintain clear trackers, records and process notes so information is easy to find, audit and hand over. Handle confidential employee, payroll and benefits information carefully and professionally.
  • HRIS, Data Quality and System Support: Act as the first point of contact for routine people, pay and benefits queries. Complete regular data integrity checks and data cleansing to help maintain accurate employee records. Support screen, workflow and process updates in Cascade where agreed, working with the Global Reward & Payroll Manager and wider People Team. Help maintain accurate reporting, trackers and management information for People and Reward activity. Identify data issues, process gaps or unclear handoffs and elevate these early with practical suggestions for improvement. Support process documentation, user guidance and simple training notes so colleagues can follow key steps consistently.
  • Benefits, Employee Access & Employee Experience: Support the set-up, tracking and administration of employee benefits, including responding to employee queries or directing them to the right support. Create initial employee access to the FitFlop shoes and Beauty Pie membership schemes, including welcome free pair, staff free pair and seasonal discount code access. Support benefit enrolments, changes, leavers, monthly checks, provider files and payroll inputs where required. Help maintain benefit records and reports so information remains accurate, current and easy to use. Support employee communications, reminders and guidance for routine benefit activity. Monitor common employee questions and help identify where guidance or processes could be made clearer.
  • Team Support & Continuous Improvement: Work with internal colleagues and external providers to resolve routine queries in a clear, helpful and timely way. Manage a varied workload, prioritising effectively and following tasks through to completion. Support continuous improvement by identifying where processes, documents or systems could be clearer, simpler or more efficient. Contribute to a collaborative, practical and service-focused People Team culture.

The Person:

  • Strong administration skills, with excellent attention to detail and the ability to work accurately with employee data.
  • Experience working in a People, HR, payroll, reward or benefits environment would be helpful.
  • Experience of IRIS Cascade HRIS and screen design / workflow management is highly desirable, or equivalent system knowledge gained in a similar role.
  • Confident using Microsoft Office, especially Excel, Outlook and Teams.
  • Able to manage a varied workload, prioritise effectively and follow tasks through to completion.
  • Clear, friendly and professional communication style, including the ability to explain information simply.
  • Comfortable handling confidential information with care and discretion.
  • Organised, reliable, proactive and willing to learn new systems, processes and ways of working.
  • Confident asking questions where something is unclear and escalating risks or issues early.
  • Able to balance pace with accuracy, especially where payroll, benefits or employee data is involved.
