Tenancy Progression Coordinator

LOCATION

Tower Bridge

PURPOSE

The Tenancy Progression Coordinator is responsible for preparing, coordinating, and administering tenancy documentation while ensuring compliance with current lettings legislation and company policies. The role supports the smooth progression of new tenancies, renewals, tenancy variations, and short-let agreements by working closely with Front Office and Lettings Operations teams to deliver an efficient and compliant service.

KEY RESPONSIBILITIES

Tenancy Documentation & Compliance

  • Prepare and issue tenancy documentation for new tenancies, renewals, tenancy variations, and short-let agreements.
  • Ensure documentation complies with current lettings legislation and internal compliance requirements.
  • Process standard tenancy agreements and escape non-standard agreements where appropriate.
  • Maintain accurate and compliant tenancy records.

Tenancy Progression

  • Manage tenancy progression from offer acceptance through to move-in.
  • Coordinate references, compliance documentation, deposits, and tenancy paperwork.
  • Ensure all documentation is completed within agreed service levels.
  • Keep internal systems updated with accurate information.

Stakeholder Communication

  • Work closely with Lettings Negotiators, Branch Managers, and Operations teams.
  • Provide regular updates on tenancy progression.
  • Respond promptly to tenancy documentation queries and support colleagues with procedural guidance.

Service Standards

  • Meet departmental KPIs for turnaround times, response times, and compliance accuracy.
  • Ensure tenancy files meet audit and quality standards.
  • Escalate issues or risks that may impact tenancy completion.

Systems & Administration

  • Maintain accurate records using CRM and tenancy management systems.
  • Ensure digital filing is complete and audit-ready.
  • Support reporting and operational administration as required.

Business Opportunities

  • Identify opportunities to refer clients to Property Management, Sales, or other company services.
  • Promote Rent Protection and other relevant services where appropriate.

Team Contribution

  • Work collaboratively with colleagues to support team objectives.
  • Contribute to a positive and professional working environment.
  • Assist with departmental projects and process improvements when required.

SKILLS & EXPERIENCE

  • Minimum 1–2 years' experience in lettings administration, tenancy progression, or a property administration role.
  • Good understanding of residential lettings processes and compliance requirements.
  • Excellent organisational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience using tenancy management or CRM systems is desirable.
  • Customer-focused with a proactive and professional approach.
