About the Role
Our Glasgow Caledonia Depot is looking for an organised and proactive Engineering Admin Assistant to support our Engineering department on a nightshift basis. You will work closely with the Engineering team, helping to coordinate administrative processes, maintain accurate records, and support the implementation of business and system improvement programmes.
Key Responsibilities
- Maintain accurate operational and engineering records and prepare reports to support depot performance and management reviews
- Provide administrative support for employee records, including attendance, timesheets, wages, holidays, sickness, and personnel files
- Collate and process vehicle defect information and support the administration of the vehicle annual test (MOT) programme
- Support day-to-day depot administration, including front desk cover, contractor sign-in, and depot systems such as SAM
- Monitor fuel usage and assist with ordering and coordination of stationery, uniforms, and PPE
- Ensure compliance with internal procedures
About You
The ideal candidate will be someone who enjoys working in a fast-paced operational environment, can manage multiple tasks efficiently, and takes pride in maintaining accurate and reliable records.
Ideally you will have:
- Previous administrative or office support experience
- Good IT literacy and experience using administrative systems
- Strong attention to detail and excellent time management skills
- Well organised with the ability to prioritise tasks effectively
- Customer-focused with a practical, common-sense approach
- Self-motivated, friendly, and helpful with an excellent telephone manner
