Due to business requirements, we are now looking to acquire the services of an experienced Facilities & Administration Manager to support the Bank’s facilities requirements. Please note that due to the nature of this role, on site presence is required 5 days per week.
Key Responsibilities:
- Office Management: Overseeing building maintenance and support services such as cleaning, catering, hospitality, physical security. Overseeing the ordering, stock checking and maintenance of office supplies and refreshments for the Bank. Maintain the Bank's offices, facilities, and meeting rooms. Ensure that all servicing and repairs are carried out in a safe and legal manner.
- Health & Safety: Responsible for the effective and efficient management of all Health and Safety and Fire Safety matters, including policy creation and implementation, monitoring and inspection, risk assessment, investigations and follow up actions. Ensuring that the H&S training for staff is effective and up to date, in collaboration with HR. Where required, design and deliver or arrange for delivery of H&S training for staff and visitors. Act as the Head Fire Marshall and responsible for recruiting fire wardens. Arrange and conduct regular Fire Risk Assessment and other required RAs for the Bank's premises and act on any findings. Create and maintain emergency evacuation procedure and ensure circulation throughout the Bank. Act as the First Aid practitioner and responsible for recruiting and ensuring training of first aiders.
- Vendor Management: Work closely with the Bank’s third-party providers related to the premises and H&S and the Third Party Risk Management function to ensure that KPIs/SLAs are met and the Bank's Facilities and H&S needs are being fulfilled.
- Front of House: Responsible for the staffing, maintenance, and presentation of the Bank's reception area. Ensure that FOH assist with Short Term Business Visitors processes, including checking and copying identification documentation and other relevant duties.
- Cashier: Overseeing the Bank's cashier function and authorising all transactions.
- Administration: Overseeing the booking and presentation of meeting rooms. Departmental invoices. Liaising with Finance Management to ensure they are paid within designated time scales. MI reports (including sustainability metrics on energy, waste, recycling, etc) for presentation to senior management.
- Archiving: Act as the main point of contact & authorisation between the Bank and its third-party archiving provider.
- Post, Courier & Deliveries: Responsible for organising the distribution of all inbound & outbound post, courier & deliveries, working with the team and third parties where necessary.
- Team Management: Manage a team of 3, including work allocation, performance appraisals, attendance and leave management, learning and development.
Key Skills/Experience:
- Previous, proven experience as a Facilities Manager or similar title.
- Experience of general office administration with a clear understanding of the need to meet deadlines and the client service requirements of a professional services environment.
- Knowledge of basic accounting and finance principles & previous cashier experience would be advantageous.
- Calendar Management skills.
- Vendor Management experience.
- Good knowledge of Health and Safety regulations.
- Foundational knowledge of GDPR.
- Excellent interpersonal skills and ability to interact and build relationships with internal and external stakeholders.
- Excellent range of communication skills, including written, verbal, and the ability to deliver compelling presentations.
