Due to business requirements, we are now looking to acquire the services of an experienced Executive Assistant to the Board.

Please note that this is a hybrid role with 3 days in the office and 2 days working from home.

Key Responsibilities:

  • The role of Executive Assistant will provide operational and administrative support to the Board, Management Committee, and the Company Secretariat team.
  • The role involves managing a range of administrative tasks under strict confidentiality, demonstrating efficiency, reliability, and a practical approach.
  • The role requires strong organisational skills, logical thinking, and the ability to anticipate next steps to ensure seamless execution of responsibilities.
  • The individual will work closely with stakeholders across all levels of the Bank and the wider Group, ensuring seamless coordination and support.
  • The primary responsibility is to offer dedicated and professional executive-level administrative support.
  • Work closely with Executive Assistants, Company Secretariat and the Office of the CEO to ensure smooth delivery of Board support, including logistics for meetings and events.
  • Manage INEDs diaries and coordinate schedules for Board, Board Committee and Management Committee meetings.
  • Suggest and implement effective meeting apps (e.g., Microsoft Outlook, Teams, or other scheduling tools) to optimise diary management and avoid conflicts.
  • Provide support to the Company Secretary and the Company Secretariat as required.
  • Plan and coordinate logistics for Board training sessions.
  • Manage vendor onboarding for the Company Secretariat.
  • Handle travel expenses for Board members and Company Secretariat, ensuring compliance with documentation and policy requirements.
  • Arrange travel, car bookings, and itineraries to ensure punctuality for meetings. Prepare detailed itineraries, manage visa arrangements, and ensure compliance with Bank policies.
  • Organise meetings for Executives and the wider Board, coordinate offsite Board meetings, and manage catering for MC and Board events.

Key Skills/Experience:

  • Proven experience in Financial Services, with a proven track record in business support, business management, or senior administrative roles.
  • Strong experience in supporting Board-level executives and senior leadership.
  • Ability to process and analyse business-related data to provide insights and support decision-making.
  • Familiarity with governance processes and regulatory requirements within the financial sector.
  • Experience in coordinating complex logistics, including diary management, travel arrangements, and meeting scheduling.
  • Exposure to project management principles; formal project management experience is an advantage.
  • Strong Microsoft skills (Excel, Word, PowerPoint, Outlook).
