What You Would Get To Do

  • The Event Technology Manager is responsible for assisting clients in navigating registration websites, supporting new technology platforms and data management while liaising with the event delivery team.
  • This role will assist the events team by implementing, building and supporting new technology platforms, as well as utilising advanced knowledge of Microsoft Excel to manage event information lists and appropriate reporting.
  • This role may also need to support clients with event and meeting coordination.
  • Domestic and/or international travel may be required with this role.

Your Contributions

  • Implementation and project management of event registration websites, app builds and additional technological aspects as needed for assigned events.
  • Troubleshoot technical issues.
  • Manage client communications, including save-the-dates, invitations, registrations, confirmations, and related materials.
  • Database management to ensure consistency in information, accuracy of new and existing data, and list generation.
  • Effectively communicate with internal and external clients via available communication lines; responding to all client queries within the agreed service level agreements.
  • Work with the Event delivery team on overall program logistics, production, and implementation.
  • List manipulation to provide team members with relevant registration data, year-on-year statistics, and insight into varied elements and event analytics.
  • Coordination of name badges, tent cards, place cards, departure notices, email confirmations, agenda, signage, etc., where appropriate.
  • Support with the registration desk flow design and set up, including onsite support throughout the event as needed.
  • Lead contact for attendee management and technology vendors, including pre-event and during execution.
  • Create and distribute post-event client surveys.
  • Adhere to standard operating procedures and compliance processes in addition to maintaining comprehensive event files and keeping precise records to ensure a smooth transition between team members if necessary.
  • Review and manage any relevant third-party vendor invoice reconciliations, e.g., badging/attendee tracking.
  • Provide the client with cost savings/value adds whenever possible.
  • Track and maintain time spent on projects to accurately reflect the work being done.
  • Assist with the training of new joiners and mentoring existing team members.
  • Keep up-to-date on all emerging technologies, popular culture and trends and ensure team members are informed as well.

What We Are Looking For

  • 5+ years of experience in Attendee Data Management and Event Technology, including entry-level meeting planning and coordination with registration and event technology.
  • Advanced proficiency in Microsoft Office, with a focus on Excel.
  • Proficiency with registration website platforms such as Cvent, Splash, Certain, Aventri, Eventbrite, and other registration website platforms required.
  • General knowledge of HTML and CSS is a plus, but not required.
  • Able to manage multiple projects simultaneously.
  • Strong written and oral communication skills at all levels.
  • Motivated, self-starter, ability to take direction and work independently; ability to think innovatively.
  • Flexible and willing to work outside of normal business hours (evenings, weekends) and travel when required to be on-site at events.
