Who are we? First Subsea, based in Lancaster and part of the First Tech Group, has gone through a major transition in the last five years, transitioning from oil and gas projects to offshore renewables projects where we supply a range of bespoke and patented products, such as lifting and recovery tools, and cable protection systems. All our products are designed, assembled and tested in-house and we have recently opened a dedicated manufacturing & production facility for our cable protection systems. As demand has grown for the products and services provided by First Subsea, the need for talented people has also grown in parallel.

The Role: We are seeking an experienced Document Controller to join the team on a full time, permanent basis, based in our Lancaster office. Primarily responsible for working with Project Managers to assist in ensuring that the company operates in an effective manner by controlling documentation. Actively working with various personnel to provide administration support and reporting progress, and challenges to the relevant Project Managers. The successful candidate will hold previous experience within a similar position and be considered an 'expert' in the use of Microsoft Office programmes.

Duties & Responsibilities: This list does not represent an exhaustive list but indicates the main responsibilities the post holder will be required to undertake:

  • Control the issue and retrieval of department documents and drawings.
  • Maintain department files in good order (paper and/or electronic).
  • Assist with the final preparation of project documents and drawings (pdf).
  • Publish and transmit document and drawing packages to clients and subcontractors.
  • Produce document transmittals for each transmission of formal information to clients and suppliers.
  • Expedite receipt of transmittals acknowledgement from clients and suppliers.
  • Assist the Projects Manager(s) and expedite timely completion of documentation and drawings from internal and external departments.
  • Maintain and continually improve document control systems.
  • Creating and managing document templates as required.
  • Maintaining various admin and document registers as necessary.

Qualifications & Experience:

Essential:

  • High level of competence with Microsoft Office suite.
  • Experience in document control.

Preferred:

  • Experience within manufacturing industry.
  • Experience of document control processes and management of document control systems.

  • Good team worker with good interpersonal skills and ability to operate effectively at all business levels, and with confidence and ability to take lead on tasks where indicated.
  • Good planning and organisational skills with a mature approach working autonomously.
  • High level of communication skills in both written and verbal.

  • Good commercial acumen.
  • Proactive and self-motivating, with ability to prioritise tasks and efficiently meet deadlines.
