An international organisation is looking for a Japanese speaking Facility/Administration Officer.

Responsibilities:
  • To manage all aspects of office maintenance and premises administration, making sure all Health and Safety issues are covered and sorted.
  • Liaising with the company’s appointed building management company, coordinating relevant contractor/engineer, and attending tenants’ meetings.
  • To update and renew the office maintenance contract and deal with any issues arising from the lease and landlord issues such as rent, tenancy agreement, etc.
  • To arrange appropriate physical access control including issuing/deleting the access control cards/badges and monitor/update the access control system.
  • To order stationery and any other supplies required for the company and staff and ensure that stocks do not run low and that the items are stored away.
  • To arrange external storage.
  • To manage the keys of the office including important ones.
  • To ensure expatriate staff matters are efficiently processed e.g. immigration procedures, induction, the securing of accommodation, rent arrangements, medical, and other issues.
  • To assist the expatriate staff in the General Affairs department with various tasks which may include reports to Head Office, photocopying, binding, filing, etc.
Requirements:
  • Japanese language skills are mandatory due to liaison with Head Office.
  • Facility Management job experience in a Japanese company.
  • Product experience in Conference systems, lighting, office furniture, access management system, electricity arrangement, air conditioning, etc.
