Overview

First Military Recruitment are currently seeking an Administrator on behalf of one of our clients. Our client encourages applications from ex-military personnel however all candidates will be given due consideration.

Duties and Responsibilities for the Administrator:

  • Job card creation and good working relationship with workshop and technicians.
  • Taking a defect to a job card / technician time clockings / parts issue and then invoicing.
  • Retail invoicing to end customer accounts including fleet companies as required.
  • Progression to Daimler Truck Service Contract / Warranty invoicing / claim processing (training will be provided).
  • Weekly out of contract cost consolidation invoicing to managed fleet.
  • General admin duties and general support to the service team with day-to-day tasks.
  • Resolving invoice queries with suppliers to ensure quotations are accurate and cost effective.
  • Chase all outstanding purchase orders to ensure supplier invoices associated works are approved.
  • Point of contact for general enquiries with our customers in the admin office.

Skills and Qualifications for the Administrator:

  • Basic product knowledge and strong overall computer literacy.
  • Experience using Keyloop / Kerridge or similar dealership management systems (desirable but not essential).
  • Confidence working with invoicing, administration, or customer service tasks in a fast‑paced environment.
  • The ability to communicate clearly and professionally at all levels — from technicians and suppliers to customers and internal teams.
  • Full training and support will be provided to help you meet objectives and progress within the role.
  • High attention to detail — particularly when creating job cards, processing invoices and resolving queries.
  • Proactive and organised, with the ability to manage multiple tasks and prioritise effectively.
  • Problem‑solving mindset, able to take initiative and follow issues through to resolution.
  • Strong relationship-building skills, working collaboratively with the workshop, technicians, suppliers and customers.
  • A positive, can‑do attitude, with a willingness to learn and adapt.
  • Customer-focused approach, ensuring a helpful and professional service at all times.
