About the Position
To ensure the smooth operation of the warehouse function during each shift, reporting all activities, anomalies and discrepancies to the appropriate personnel as required.
Key Tasks and Responsibilities
- Supervise and control the warehouse operation and operatives across air, ocean, road, perishable and healthcare operations.
- Maintain performance and operational standards at all times.
- Ensure the correct loading, unloading and dispatch of goods in line with Standard Operating Procedures (SOPs).
- Complete all necessary paperwork relating to inbound and outbound activities.
- Ensure all vehicles arriving on site are suitably presented, with any anomalies reported immediately.
- Ensure all goods received are signed for, with a copy of the signed delivery note returned to the driver and a copy provided to the A&O office (where applicable).
- Ensure drivers have all relevant paperwork prior to departure.
- Ensure quality procedures and team quality targets are strictly adhered to.
- Take overall responsibility for the effective supervision, training and development, and the health and safety, security and welfare of the team.
- Communicate job expectations and provide coaching and support to staff.
- Conduct daily team briefings, including the communication of company information when required.
- Maintain the highest levels of cleanliness, safety and security within the warehouse.
- Liaise and coordinate activities with other departments.
- Communicate any issues, concerns and recommendations to the Site Operations Manager.
- Ensure accurate information is handed over to the next shift supervisor.
- Work alongside the Site Operations Manager to plan resources in line with business requirements.
- Determine staffing levels and allocate workloads accordingly.
- Manage absence, sickness and holiday requests.
- Supervise and control hazardous substances within the area in accordance with EU and UK legislation.
- Implement the company's Health and Safety Policy and Security Policy, ensuring safe working conditions and practices within the warehouse.
- Utilise all in-house systems as required.
- Carry out any other reasonable duties requested by the Site Operations Manager from time to time.
- Plan and control the department's day-to-day activities.
- Manage and control departmental expenditure within agreed budgets.
- Monitor and evaluate performance and take appropriate action to drive continuous improvement.
- Identify, analyse and report on performance and results, ensuring continual improvements are communicated to the Senior Management Team.
- Facilitate meetings as required.
- Ensure that internal procedures and controls, including the Quality Management System, Standard Operating Procedures and Company Handbooks, are recognised, understood, maintained and updated where necessary.
- Enforce internal procedures and controls, including the Quality Management System, Standard Operating Procedures and Company Handbooks.
- Review the continuing suitability, adequacy and effectiveness of internal procedures and controls within the area of responsibility.
- Undertake regular sample checks of departmental work to ensure all activities comply with company procedures and controls.
- Liaise with other departmental managers and supervisors to maximise communication and collaboration.
- Manage sickness and absence activity, including undertaking Return to Work interviews.
- Effectively manage holidays to ensure the department and business remain sufficiently staffed.
- Lead, manage, motivate and develop team members.
- Undertake recruitment activities in line with the company's Recruitment and Selection Procedures, utilising HR support where applicable.
- Conduct effective performance management activities within the team and department.
- Manage conduct and performance matters, including disciplinary, grievance and capability procedures.
- Review, recognise and reward staff performance where appropriate.
- Identify, plan and evaluate training and development requirements for staff.
- Train and mentor staff where appropriate, within the limits of own authority, knowledge, competence and available resources.
- Undertake procurement activities in line with agreed parameters, where required.
