Payroll Administrator

Location: Manchester City Centre
Hours: Monday to Friday – 8am-5pm
Reporting to: Branch Manager

About the Role

We are looking for an organised and detail-focused Payroll Administrator to join our team and support the accurate and timely processing of payroll for our temporary workforce.

Working within a fast-paced temporary labour and recruitment environment, you will be responsible for processing weekly payroll, checking timesheets, resolving pay queries and liaising with temporary workers, clients and internal recruitment teams.

This is a role where accuracy, confidentiality and attention to detail are essential, as you will be responsible for ensuring temporary workers are paid correctly and on time.

Key Responsibilities

  • Process weekly payroll for a large volume of temporary workers accurately and within strict deadlines.

  • Review and validate timesheets, hours worked, overtime, holiday pay, bonuses and other payroll adjustments.

  • Liaise with clients to resolve missing, incorrect or disputed timesheets.

  • Ensure temporary workers are paid correctly in accordance with their agreed pay rates and working hours.

  • Investigate and resolve payroll queries from temporary workers promptly and professionally.

  • Respond to queries relating to pay, deductions, holiday entitlement, tax, National Insurance and other payroll matters.

  • Process starters, leavers and changes to worker details.

  • Maintain accurate and up-to-date payroll records and employee information.

  • Work closely with the recruitment and account management teams to resolve payroll discrepancies.

  • Ensure payroll information is processed in line with company procedures and relevant legislation.

  • Assist with holiday pay and holiday entitlement calculations.

  • Identify discrepancies, investigate the cause and make appropriate corrections.

  • Maintain confidentiality when handling employee and payroll information.

  • Assist with payroll reporting and reconciliation as required.

  • Support payroll audits and compliance checks.

  • Ensure all payroll deadlines are consistently met.

  • Provide general administrative support to the wider branch/payroll function when required.

Key Skills & Experience

  • Excellent attention to detail and accuracy.

  • Strong numerical and administrative skills.

  • Experience working with timesheets and high volumes of data.

  • Good knowledge of Microsoft Excel and Microsoft Office.

  • Excellent organisational and time-management skills.

  • Ability to work effectively under pressure and meet tight weekly deadlines.

  • Strong communication skills, both written and verbal.

  • Ability to investigate problems and resolve queries efficiently.

  • High level of confidentiality and professionalism.

  • Ability to work independently while also being part of a wider team.

Desirable Experience

Experience within a temporary labour provider, recruitment agency or staffing business would be highly advantageous.

Knowledge of:

  • Weekly payroll processes

  • PAYE

  • Holiday pay and holiday entitlement

  • National Insurance and tax deductions

  • Temporary worker timesheets

  • Agency Worker Regulations

  • Payroll and recruitment software

  • High-volume payroll processing
