We have a fantastic opportunity for a Talent Acquisition & Vetting Coordinator to join our Talent Acquisition team on a full time permanent basis. This is a hybrid role and will be based at our Glasgow-Caledonia depot. The Talent Acquisition & Vetting Coordinator is a key member of the Talent team and will play a crucial role in providing seamless support across both professional recruitment and vetting operations.

In this role you will provide essential administrative assistance to the team by managing candidate offers, preparing contracts/offer letters, onboarding for Engineering and Non-Volume/Professional vacancies, while also supporting key vetting activities during peak periods and throughout the year. Working closely with the Talent Acquisition team, Vetting team, our hiring managers, and candidates, you will ensure an excellent candidate experience from offer through onboarding, while maintaining robust compliance and vetting standards. This role is instrumental in maintaining the quality, accuracy, and efficiency of recruitment and vetting processes.

Key Responsibilities
  • Partner closely with the Talent Acquisition Partners and the wider TA team to support all recruitment activities, particularly the preparation and issuing of contracts and offer letters.
  • Be the main point of contact for offered candidates throughout offer and onboarding stages, ensuring timely updates and an excellent candidate journey.
  • Manage onboarding tasks, including answering any candidate questions on contracts, gathering required documentation, overseeing pre-employment steps, and ensuring successful handover to hiring managers on day one.
  • Maintain accurate candidate records and ensure all data is kept up to date within the Applicant Tracking System (ATS).
  • Complete recruitment and vetting reports and ad hoc reports as required.
  • Participate in career fairs, depot visits, and campus recruitment events.
Vetting:
  • Support the Vetting Lead and vetting team with all vetting activity during peak periods or when additional capacity is required.
  • Manage end to end vetting cases for new joiners and annualised checks (for example enhanced DBS rechecking processes), ensuring all vetting meets required standards and role dependencies.
  • Ensure accurate entry of right to work and DBS information into HR systems.
  • Respond to vetting-related queries from candidates, hiring managers, HR colleagues, and stakeholders, ensuring all queries are answered with a ‘right first time' approach.
  • Liaise with our external vetting provider and support ongoing account management.
  • Act as a super user for vetting and HR systems, ensuring data integrity and process compliance.
Skills/Experience
  • Previous experience in an administrative or recruitment coordinator position, either from an internal talent team or recruitment agency.
  • Excellent communication and interpersonal skills, with the ability to build relationships with candidates and stakeholders.
  • Strong organisational skills with the ability to prioritise workload and manage multiple processes simultaneously.
  • Great administrative skills and detail-oriented with a high attention to detail and the commitment to “right first time” accuracy.
  • Proficiency using MS Office, Excel, Outlook, etc.
  • Familiarity with applicant tracking systems (ATS) or CRM and other recruitment tools is an advantage.
  • Comfortable and excited to work in a fast-paced environment.
  • Can utilise data insights to drive decision making around recruitment initiatives.
  • Experience working with service level agreements (SLAs), targets, and KPIs.
