Job Title: New Business Administrator

Location: [North London/ Hybrid

Salary: Β£28,000 – Β£34,000 per annum (dependent on experience)

About the Role

We are seeking a detail-oriented and proactive New Business Administrator to join our dynamic team. In this pivotal support role, you will oversee the onboarding, submission, and ongoing servicing of a wide range of financial plans and policies.

Working closely with Financial Advisers, Paraplanners, and clients, you will play a crucial role in ensuring the seamless processing of new business cases, maintaining flawless data integrity, and delivering exceptional service standards across the firm.

Key Responsibilities

New Business Processing & Case Management

  • Accurately submit all types of new business in accordance with internal compliance procedures.
  • Set up new fund accounts, mandate details, and initial investments.
  • Create CommPay lodgements to track revenue expectations and confirm initial payment receipts.
  • Actively track case progression through to transfer/completion, ensuring plans are placed on risk efficiently.
  • Implement fund switches, Bed & ISA transactions, and verify receipt of all due fees.

Data & Back-Office Systems Management (Xplan)

  • Maintain, update, and audit client records and system fields within Xplan to ensure continuous data accuracy.
  • Attach, link, and categorise all documentation, emails, and transaction notes against relevant client plans.
  • Monitor and refresh data feeds to ensure alignment across policies.
  • Complete daily tasks, workflow events, and accurate time-recording within Xplan in a timely manner.

Communication & Adviser Support

  • Serve as a key point of contact for Advisers, Paraplanners, and clients, keeping all parties updated on case timescales and progress.
  • Issue application summaries, contract notes, and transaction histories promptly.
  • Send client completion communications or brief Advisers on required next steps.
  • Coordinate client medical appointments where necessary for underwriting purposes.
  • Assist with ad-hoc projects and general administrative tasks to support ongoing client servicing.

Quality Assurance & Compliance

  • Conduct thorough pre-submission completeness checks on all application forms.
  • Adhere strictly to four-eyes checking protocols for case submissions and trading instructions.
  • Work alongside the Finance Team to match initial and ongoing revenue in CommPay.

Key Skills & Experience

  • Experience: Proven experience in a New Business, Financial Planning Administration, or Sales Support role within the financial services sector.
  • System Knowledge: Hands-on experience with Xplan and revenue systems like CommPay is highly advantageous.
  • Technical Understanding: Familiarity with various financial products, investment transfers, Bed & ISA transactions, and fund switching processes.
  • Attention to Detail: Excellent accuracy, strong data entry standards, and a commitment to maintaining strict compliance and quality assurance.
  • Communication: Clear, professional verbal and written communication skills for liaising with Advisers, clients, and third-party providers.
  • Organization: Ability to manage multiple priorities, monitor open tasks, and drive cases to completion independently.
