The Role

We are seeking a well-versed and experienced IFA Administrator to provide first-class support to our Financial Advisers, Paraplanners, and clients. This is an end-to-end administrative role where you will confidently manage cases across the entire client lifecycle. From accurately processing new business to preparing client reviews and handling day-to-day provider queries, your precision and organisation will keep our operations running smoothly.

Key Responsibilities:

  • New Business Processing: Accurately prepare, process, and submit applications across a range of products and wrappers (Pensions, ISAs, Investments, Bonds, and Protection), chasing through to completion.
  • Client Servicing & Reviews: Manage the ongoing client review cycle, including preparing valuations and review packs ahead of adviser meetings, and actioning any post-meeting requirements.
  • Provider & Platform Liaison: Work directly with platforms and providers to obtain illustrations, valuations, and policy information, and process Letters of Authority (LOAs).
  • Client File Management: Maintain pristine, up-to-date, and audit-ready client records on our back-office system.
  • Client Support & Communication: Act as a key point of contact for client and provider queries, offering a professional, warm, and timely response.
  • Consumer Duty Compliance: Ensure all administrative work supports good client outcomes, transparency, and fairness in line with FCA guidelines.

What We Are Looking For

Experience & Knowledge:

  • Proven experience as an Administrator within a UK IFA or wealth management firm.
  • Hands-on experience administering a range of financial products (Pensions, ISAs, Bonds, Protection, and Investments).
  • Confidence working with financial provider portals, platforms, and IFA back-office systems.
  • A solid working understanding of FCA regulations, particularly the Consumer Duty principles.
  • No formal qualifications are required! We value experience and the right attitude, though we are more than happy to fully fund further study if you want to grow your career.
