A growing and successful St. James's Place Partner Practice is seeking an experienced, proactive, and highly organised Senior Practice Support Specialist to join its team.
This is an excellent opportunity for an individual with previous SJP experience to play a key role in delivering exceptional client service while supporting the smooth day-to-day operation of a busy financial planning practice. Working closely with the Practice Manager, Partners, and Advisers, the successful candidate will be responsible for managing client administration, supporting business operations, coordinating new business processing, and ensuring the highest standards of accuracy, efficiency, and regulatory compliance.
Key Responsibilities
- Prepare and submit new business cases, including illustrations, applications, and suitability documentation.
- Ensure all casework is completed accurately and within agreed service level agreements (SLAs).
- Monitor progress and proactively manage outstanding actions.
- Format meeting notes and ensure all post-meeting actions are completed accurately and promptly.
- Update and maintain records within Salesforce, iBusiness, and other internal systems.
- Support Partners and Advisers through effective administration and case management.
Client Review Management
- Assist in coordinating ongoing client review programmes.
- Ensure review activities are scheduled, tracked, and delivered in accordance with internal procedures and service standards.
- Liaise with clients to support a smooth review process.
Client Service & Communications
- Act as a professional and client-focused first point of contact.
- Manage incoming calls and client enquiries efficiently.
- Draft and send high-quality communications to clients, providers, and internal stakeholders.

- Take ownership of allocated client cases from initiation through to completion.
- Monitor provider requests, including Letters of Authority (LOAs), and follow up within agreed timescales.
- Maintain accurate client records and documentation throughout the client lifecycle.
- Track, monitor, and proactively chase pipeline business through to completion and payment.
Meeting Preparation & Client Onboarding
- Prepare client files and supporting documentation ahead of meetings.
- Coordinate onboarding activities for new clients across all relevant systems, including PROMs and Curo.
- Ensure client data is accurate, complete, and compliant.
Marketing & Client Engagement
- Support the delivery of client communications, campaigns, and engagement initiatives.
- Coordinate client events, campaigns, and engagement activities.
- Ensure all communications adhere to brand standards and compliance requirements.
General Administration
- Manage incoming and outgoing correspondence.
- Prioritise, scan, and log documentation accurately.
- Support operational projects and continuous improvement initiatives where required.
Skills & Experience Required
The successful candidate will demonstrate:
- Previous experience within a St. James's Place Practice in a senior administrative, client support, or operational role.
- Strong working knowledge of Salesforce (essential).
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Excellent organisational and time-management skills.
- Exceptional attention to detail and accuracy.
- Strong verbal and written communication skills.
- The ability to manage multiple priorities within a fast-paced environment.
