Working Pattern: Hybrid – 3 days in the office following probation A highly successful and growing professional services firm is seeking an experienced Executive Assistant / Personal Assistant to provide comprehensive support to the CEO and wider Executive Team. The Role You will play a pivotal role in supporting senior leadership, coordinating key business activities, and ensuring the smooth day-to-day running of executive operations. Executive Leadership Support Proactively manage the CEO's diary, ensuring effective prioritisation and scheduling. Provide diary management and administrative support to the wider Executive Team. Coordinate Board, Executive, governance and project meetings, including agenda preparation and logistics. Take accurate minutes and track actions arising from key meetings. Prepare and distribute meeting packs, presentations and supporting documentation. Organise and facilitate weekly project and leadership calls. Travel Logistics Manage company-wide travel and accommodation arrangements. Coordinate meeting room bookings, catering and hospitality requirements across multiple office locations. Stakeholder Management Liaise with investors, external partners, suppliers and service providers. Build and maintain strong relationships with third-party vendors to support business operations. People Onboarding Coordinate onboarding activities for new employees, including equipment, office setup and induction schedules. Manage employee offboarding processes and asset returns. Office Facilities Management Oversee the smooth operation of multiple office locations. Maintain records relating to office compliance, health and safety, leases and facilities. Manage post, courier services and office administration functions. Communications Business Support Coordinate company-wide update meetings and presentations. Manage internal communications on behalf of senior leadership. Support employee engagement initiatives and recognition programmes. Assist with marketing and business development activities. Provide ad hoc administrative support as required. About You You will be an experienced Executive Assistant or Personal Assistant with a track record of supporting senior executives in a professional environment. Key Requirements Minimum 3 years' experience in a PA or EA position. Exceptional organisational and diary management skills. Outstanding attention to detail. Strong communication and stakeholder management abilities. Highly professional with excellent discretion and confidentiality. Proactive, solutions-focused and able to anticipate business needs. Strong Microsoft Office skills and confidence using business systems and virtual meeting platforms. Experience coordinating projects, meetings and executive-level activities. Positive, adaptable and committed to building a long-term career within a growing organisation. Benefits Competitive salary of £50,000 – £60,000 depending on experience.
