FT Live is the conferences and events division of the Financial Times and its group publications. Its mission is to bring global executive audiences the latest knowledge and opinion while creating opportunities for them to connect. We are looking for an enthusiastic Event Operations Executive to support the delivery of our portfolio of in-person, digital and hybrid events. Working closely with Event Managers and colleagues across FT Live, you will help coordinate event logistics, digital delivery and audio-visual requirements. This is a permanent position and may particularly suit candidates at an early stage of their events career.
Key Responsibilities
- Support Event Managers with the planning and delivery of high-quality in-person, digital and hybrid events.
- Create and maintain pre-event webpages, sponsor hubs and other digital event materials.
- Support the delivery of digital webinars for senior and VIP clients.
- Coordinate the ordering and production of event branding and collateral.
- Assemble and arrange the shipment of materials required for events.
- Maintain accurate event databases, schedules and operational documentation.
- Assist with the recording and editing of digital and hybrid event content.
- Liaise with external suppliers, venues and internal FT teams.
- Coordinate travel and accommodation arrangements where required.
- Support budget tracking, invoice processing and financial administration.
- Help handle onsite logistics, including event set-up, delivery and breakdown.
- Provide technical audio-visual support where required.
- Identify operational issues and contribute to timely, practical solutions.
Required Skills and Experience
- Strong organisational skills, with the ability to handle several tasks and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Close attention to detail and a commitment to delivering accurate, high-quality work.
- A proactive approach and the confidence to take ownership of tasks.
- Strong problem-solving skills and the ability to respond calmly to changing priorities.
- Confidence working with numbers, budgets and invoices.
- A collaborative approach and the ability to build effective relationships with colleagues, clients and suppliers.
- An interest in international conferences, events and digital event delivery.
- The ability to learn new systems, processes and technical skills quickly.
- Willingness and flexibility to travel internationally when required.
- A degree or equivalent experience in Event Management, International Event Management or a related field.
- Previous experience supporting live, digital or hybrid events.
- Familiarity with webinar platforms, event-management systems or basic video-editing tools.
- Experience working with event suppliers, venues or production partners.
