Position Overview: Fieldmotion is a field service and job management software platform. As a Workflow & Forms Administrator, you will be responsible for understanding customer requirements and translating their existing processes and paperwork into effective digital forms and workflows within Fieldmotion. The role involves consulting directly with customers, identifying their operational needs, recommending best-practice solutions and configuring their account to support a successful onboarding. You will work closely with our Sales, Customer Service and Development teams to ensure customer requirements are accurately delivered. Strong attention to detail is essential, with responsibility for building, testing and refining forms and workflows to ensure they are practical, accurate and easy to use.

Responsibilities:

  • Review and analyse customer documentation, including job sheets, checklists and reports, to understand their operational requirements.
  • Consult directly with customers to understand their existing processes, workflows and documentation needs.
  • Design, build and configure digital forms and workflows within the Fieldmotion platform.
  • Advise customers on best-practice solutions rather than simply replicating existing processes.
  • Conduct customer calls and meetings to review, test and refine forms and workflows.
  • Translate customer requirements into practical, structured digital solutions that improve efficiency and data accuracy.
  • Work closely with Sales, Customer Service, Data, Training and Development teams throughout the onboarding process.
  • Coordinate and review form-building tasks across the wider team to maintain consistency and quality.
  • Use HTML where required to support form configuration and customisation.
  • Maintain accurate records of customer requirements, workflows and agreed solutions.
  • Provide feedback on opportunities to improve internal processes and Fieldmotion functionality.

Essential Criteria:

  • HTML experience is required
  • Strong communication skills with the confidence to consult directly with customers.
  • Excellent attention to detail and ability to understand and document business processes.
  • Minimum of 1 year's experience in a customer-facing, customer service or consultation role.
  • Proficient in Microsoft Office, including Excel and Word.
  • Minimum A-Level education or equivalent, including GCSE Maths and English at Grade C or above/equivalent.
  • Ability to manage multiple tasks and work effectively to deadlines.

Desirable Criteria:

  • Previous experience in a customer consultation, implementation or onboarding role.
  • Experience creating digital forms, workflows or business processes.
  • Experience working with software or SaaS platforms.
  • Strong problem-solving skills with the ability to recommend practical solutions.
  • Ability to work independently within a fast-paced, task-focused environment.
