Join to apply for the Graduate Recruitment Assistant role at Fieldfisher. We are looking for an organised and enthusiastic Early Careers Assistant to join our vibrant internal Early Careers team. Reporting to the Senior Early Careers Advisor, this role will work closely with the Junior Early Careers Advisor and the team\\\’s Manager to support the attraction, recruitment, and development of the firm\\\’s early careers programmes.

Key Responsibilities

Attraction and Selection

  • Support the Junior Early Careers Advisor with the organisation of campus recruitment events, including booking venues, arranging catering, and coordinating travel for both internal and external events.
  • Manage diaries for video interviews, assessment centres, and other recruitment-related meetings.
  • Provide administrative support for assessment centres, including room bookings, facilities coordination, and AV setup.
  • Manage internal and external job postings and oversee the candidate offer process.
  • Assist the team in maintaining and updating the applicant tracking system (ATS).
  • Contribute to delivering a smooth, efficient, and positive candidate experience across business support early careers programmes.

Development and Onboarding

  • Manage diaries and arrange meetings for the Early Careers Manager and Senior Early Careers Advisor.
  • Conduct pre-employment checks, such as employment references and medical assessments.
  • Prepare contracts of employment, offer letters, and other legal documentation for new joiners.
  • Accurately input new employee details into the firm’s HR database.
  • Create and maintain accurate personnel files for all new starters.
  • Enter candidate data into the firm’s systems.
  • Liaise with internal teams including Payroll, IT, and Lead Legal PAs to ensure a seamless onboarding experience.
  • Maintain the team tracker with daily updates on onboarding progress for each new starter.
  • Keep HR records current, particularly regarding seat moves and supervisor changes.
  • Produce internal offer documentation as part of the qualification process.
  • Update and maintain the HRIS (Cascade), ensuring accuracy of employee records for early careers cohorts through regular data audits.
  • Maintain the HR e-filing system.

General Administration

  • Respond to incoming queries via email and telephone in a professional and timely manner.
  • Ensure compliance with the firm\\\’s GDPR policies when handling candidate data.
  • Process invoices and expenses.
  • Arrange travel and book meeting rooms as required.

About You:

  • Proven experience in administrative roles within HR or recruitment, ideally in professional services
  • Genuine interest in early careers recruitment
  • Excellent verbal and written communication skills
  • Proactive and methodical approach to work
  • Experience working in fast-paced environments, with the ability to manage multiple tasks simultaneously
  • A ‘people-first’ mindset and a strong desire to contribute within a team setting
  • Confident user of Outlook, Word, Excel and PowerPoint
