Location: Edmonton Closing Date: — Practice Area: Our Yellowknife Corporate Team is looking for a Legal Administrative Assistant to provide general invoicing and administrative duties for the paralegals. This position reports into a combination of the YK Partner and the Director, HR + Administration. Duties + Responsibilities Support and assist the Yellowknife corporate services team members. Assist with administrative tasks, including but not limited to: file organization, scanning and copying documents, and data entry. Process all incoming mail and deliveries via YK Business Services mailbox, which includes: Searching for file and matter number in NetDocs or ALF, extracting and reviewing documents from the package, and saving/naming them for the appropriate file/matter. Emailing paralegals and saving emails to NetDocs when deliveries have been saved to the file and attaching all saved documents from NetDocs. Process incoming proof of filings received from Corporate Registries in NWT, naming/saving POFs to the appropriate file and matters in NetDocs, and emailing the paralegal when POFs are saved. Process rejections from the registry, review errors, and help amend documents for re-submission to the registry. Review files, prepare the (year) ET annual return, and list of directors last filed, forwarding the same to the client for execution when required. Assist with the preparation of submission documents to be sent to Corporate Registry in NWT, ensuring all documents listed on the Charge sheet are accounted for and in order. Create Charge Sheets from ALF. Process receipt of signed annual return, package, and submission to (NT/NU/YT) Registry. Review filed documents from Registry, email clients providing proof of filing, and update ALF. Draft emails to clients regarding proof of confirmation received from Registry and report on document registration. Handle business name renewals. Other tasks as required. Qualifications + Skills 2+ years of experience as a legal assistant, preferably in the corporate law practice area. Exposure to corporate businesses in the northern territories is an asset. Excellent organizational skills with strong attention to detail. Excellent follow-up and bring-forward skills. Strong analytical and problem-solving skills with minimal supervision. Ability to prioritize effectively and handle high-pressure deadlines. Working Conditions Normal weekday office hours (35 hours per week).
