Our Edmonton office is actively seeking a highly motivated and detail-oriented Corporate Services Clerk. This integral position reports directly to the Team Lead, Corporate Services and plays a crucial role in supporting and executing the annual compliance processes for our diverse range of corporate clients.
The ideal candidate will demonstrate exceptional organizational skills, allowing them to manage multiple tasks with precision and efficiency. A keen attention to detail is essential, as the role involves ensuring compliance with all regulatory requirements and maintaining accurate documentation. Duties + Responsibilities
- Working in our corporate database to pull monthly reports for annual compliance purposes.
- Coordinating with lawyers and paralegals to determine which annual compliance packages need to be prepared.
- Reviewing corporate database, virtual minute books and information filed on CORES to verify details and ensure accuracy of corporate records.
- Identifying and rectifying any discrepancies in corporate records and corporate database.
- Maintaining and updating corporate records in corporate database.
- Preparing all annual compliance packages.
- Invoicing for all annual compliance matters.
- Working with accounting team to identify and resolve any discrepancies or issues.
- Sending out annual compliance packages to clients in a timely manner.
- Responding to inquiries from clients, lawyers and paralegals with respect to annual compliance matters.
- Maintaining accurate records of all annual compliance activities. Monitoring, tracking and following up annual return due dates.
- Updating virtual minute books in corporate database.
- CORES Level 1 filings.
- Conducting corporate searches.
- Requesting documents from Alberta Corporate Registry.
- Investigating and reviewing emails/matters as required by lawyers, paralegals and clients.
- Assisting with all other corporate records management as required.
- Scanning, photocopying, where needed.
- Other tasks as required.
Qualifications + Skills
- Legal Assistant/Paralegal Diploma or related education.
- Experience working in a law firm or a similar professional setting.
- Experience working in the corporate law area and on annual compliance matters.
- Working knowledge of ALF.
- Advanced computer skills.
- Excellent organizational skills with strong attention to detail.
- Excellent follow-up and bring-forward skills.
- Strong analytical skills and problem solving with minimal supervision.
- Ability to prioritize effectively and handle high pressure deadlines.
Working Conditions
- Ability to work in a fast-paced and dynamic work environment.
- Normal week-day office hours (35).
- Hybrid working environment, 3 days minimum in the office (if approved after 90 days probation period).
