Overview
The post-holder will be involved in the day-to-day operations of the Foundations, ensuring effective and timely grants administration, supporting the preparation of Board papers, and providing administrative support across the Foundations. The role includes diary management and acting as an executive assistant to the Chief Executive.
The person
The successful candidate will have proven administrative experience, be highly organised, proactive, with exceptional attention to detail (including proofreading). They should be comfortable managing multiple tasks and working at pace. They should be adept at working with databases (ideally Salesforce) and have strong IT skills across Microsoft Office. Confidentiality and discretion are essential, and the candidate should be a collaborative team player.
Key responsibilities
- Grants administration – day‑to‑day administration of the Foundations’ grant-making, including:
- Leading on the production of grant offer packs, ensuring details are accurate and match the grants management system, with packs completed within established timeframes.
- Drafting and supporting other communications with grantees/applicants as required.
- Undertaking financial administration (e.g., verifying grant payment details, liaising with the supplier team to set up grant payments, and liaising with grantees to monitor receipt of payment).
- Assisting Grant Managers and the Grants Operations team to ensure data on the grants management system is accurate and up to date.
- Proofing grant proposals.
- Governance – support the preparation of Board papers (including proofreading for accuracy, house style and formatting); manage the portal for posting Board papers; prepare minutes; facilitate annual policy reviews; support the maintenance of the Foundations’ control environment and adherence to policies related to grants administration.
- Administrative support – monitor and respond to general telephone, post and email queries; support the Grants & Data Officer with system support for applicants and grantees; provide executive support to the Chief Executive; schedule team meetings; organise meetings with grantees; book meeting rooms; arrange travel (flights, accommodation, visas) and produce itineraries; support day-to-day operations and filing; provide flexible support as needed; represent the Foundations in line with its values.
Experience Knowledge and experience
- Demonstrable experience in an administrative or PA role.
- Demonstrable experience proofreading documentation for clarity and accuracy.
- Experience using Microsoft Office (Word, Excel, Outlook) and CRM systems, in particular Salesforce.
