FI Real Estate Management are seeking a Personal Assistant to join our team and support the Asset Managers in the day to day management of the property portfolio. This is an exciting opportunity for an individual who has previous PA experience and is keen to join a successful and friendly team on a full time, permanent basis. The role is office based in Chorley and is Monday to Friday, 37.5 hours per week.
Key Duties & Responsibilities
- Proactively support the Asset Managers (AMs) to progress new leases and renewals to completion
- Draft documentation including Heads of Terms, New Leases and Lease Renewal Approvals, Rent Review Memorandums and Assignment approvals
- Liaising with tenants to secure signatures on agreements
- Carry out credit checks using Experian
- Draft CapEx and Purchase Order forms
- Record status updates on the CRM system (HubSpot) relating to new deals and renewals
- Ensure the timely completion of tasks on the property management system, Yardi
- Assist AMs with managing emails, chasing up replies to queries and requesting updates from solicitors
- Arrange business travel and accommodation
- Arrange external/internal meetings and book meeting rooms
- Assist with the preparation of presentations, board reports and management reports, extracting data from the Yardi system, as required
- Process incoming and outgoing telephone calls
- Assist with any other administrative tasks, as required
