Job overview

We are seeking a motivated Operational Support Manager to join our Endoscopy service on a full-time basis. The post holder will support the Service Manager and General Manager in delivering safe, effective and patient-centred operational services, with a particular focus on patient pathways, performance and service capacity across multiple sites.

The role is central to supporting the service to achieve key access, activity, quality and performance standards. Working closely with clinical, nursing, administrative and corporate colleagues, the post holder will support the delivery of agreed service objectives and contribute to the effective management and continuous improvement of operational services.

The successful candidate will have well-developed organisational, analytical and communication skills, with the ability to use initiative and sound judgement to resolve operational issues within defined parameters. They will be able to work effectively across professional groups while maintaining clear boundaries of delegated authority.

Please note that the role requires regular travel between Frimley Park Hospital and Wexham Park Hospital, with occasional travel to Heatherwood Hospital.

Main duties of the job

The post holder will also monitor waiting lists, validation, pathways, capacity, workforce and productivity, ensuring that operational risks and performance issues are identified, actioned and escalated appropriately. The role willl contribute to governance, complaints, risk management, financial monitoring and service improvement, while ensuring compliance with Trust policies and procedures.

The successful candidate will have excellent organisational, analytical, communication and problem-solving skills, with the ability to work effectively and diplomatically with clinical, administrative and corporate colleagues. Applicants should have relevant experience in a comparable operational or administrative management role, including staff management, coordinating complex workflows, analysing performance information and supporting teams to achieve operational objectives.

Person specification

Qualifications

  • Degree level qualification or equivalent relevant operational / administrative management experience
  • Evidence of continuing professional development relevant to management, leadership, service improvement or healthcare operations
  • Supervisory or management qualification, or willingness to work towards
  • Qualification in healthcare management, service improvement, leadership or administration

Experience

  • Experience of coordinating operational or administrative services within a complex environment
  • Experience of supervising or line managing staff, including appraisal, attendance, training compliance and initial performance management
  • Experience of using performance, activity, waiting list, pathway or workforce information to support service delivery
  • NHS operational or administrative management experience within an acute setting
  • Experience of RTT, cancer, diagnostics or other access standards
  • Experience of rota coordination, clinic utilisation, theatre scheduling or capacity planning

Skills and Knowledge

  • Excellent written and verbal communication skills, with the ability to adapt communication for staff, patients and stakeholders
  • Strong organisational skills, with the ability to prioritise competing demands and deliver within agreed timescales
  • Analytical and numeracy skills, with the ability to interpret routine and moderately complex information, identify variance and recommend actions
  • Good IT skills, including Microsoft Office and the ability to use relevant clinical, workforce and operational systems
  • Advanced Excel skills, including use of spreadsheets to analyse and present information
